Responsibilities & Context:
Coordinate and facilitate the recruitment process of field force employees (Sales Officers, Area Sales Executives, Regional Managers, etc.), including documentation, onboarding, and joining formalities in collaboration with the HR department.
Maintain and regularly update the field force database, ensuring accurate records of employee information, designations, locations, and reporting structures.
Monitor and maintain attendance records of field force employees and ensure proper reporting, verification, and documentation.
Prepare and coordinate monthly attendance reports, leave records, and other field force–related data.
Maintain and process documentation related to employee promotions, increments, transfers, and role changes of field force employees.
Manage sales administrative processes related to employee separation, including resignation, termination, and clearance procedures in coordination with relevant departments.
Coordinate and prepare necessary documentation for final settlement of separated field force employees in collaboration with HR and Accounts.
Process, verify, and maintain records of TA/DA bills of field force employees and coordinate with MIS for salary preparation.
Ensure proper documentation and record keeping of all field force administrative activities, maintaining confidentiality and accuracy of employee and operational data.
Coordinate with cross-functional departments including Sales, Marketing, Distribution, MIS, Customer Service, Supply Chain, and HR to ensure smooth sales operations and administrative support.
Prepare, review, and submit periodic sales administrative reports to management within the stipulated timeline.
Support the management in sales operations planning, administrative coordination, and policy implementation related to the field force.
Assist in organizing training sessions, meetings, and orientation programs for newly recruited field force employees.
Maintain proper documentation and tracking of field force assets, IDs, and official approvals when required.
Ensure compliance with company policies, operational guidelines, and documentation standards for all field force related activities.
Perform any other duties or responsibilities assigned by the management from time to time.
