Responsibilities & Context:

An Executive – Admin & Accounts works at the intersection of office operations and financial management. The role ensures that:

  • Daily administrative activities run smoothly

  • Financial records are accurate and up to date

Coordination between departments, vendors, and management is efficient.

Key Responsibilities

📌 1. Administrative Duties

  • Manage office operations and supplies

  • Maintain files, records, and documentation

  • Handle phone calls, emails, and correspondence

  • Coordinate meetings, schedules, and appointments

  • Support HR/admin tasks (attendance, leave records, onboarding support)


📌 2. Accounting & Finance Tasks

  • Maintain daily financial transactions (cash, bank, ledger)

  • Prepare vouchers (payment, receipt, journal)

  • Assist in accounts payable & receivable

  • Process invoices and ensure timely payments

  • Reconcile bank statements

  • Maintain petty cash and expense tracking


📌 3. Documentation & Reporting

  • Prepare financial reports (daily/weekly/monthly)

  • Maintain proper audit-ready documentation

  • Assist in budget tracking and cost control

  • Generate MIS reports for management


📌 4. Vendor & Client Coordination

  • Communicate with vendors for billing and payments

  • Maintain supplier records and agreements

  • Follow up on outstanding payments (receivables)


📌 5. Compliance & Support

  • Ensure compliance with company policies

  • Assist during audits (internal/external)

  • Support tax/VAT documentation (depending on country regulations).
