Educational Requirements:
∎ Bachelor's degree from a reputed university
∎ MBA in HR or PGD in HR will get preference
Experience Requirements:
∎ 3 to 5 year(s)
Job Responsibilities:
∎ Facilitate and contribute to the development of harmonious employee relations by implementing diverse employee engagement programs and staff welfare initiatives aimed at fostering a positive and inclusive work environment.
∎ Ensuring strict adherence to Standard Operating Procedures (SOPs) at every stage of administration to maintain regulatory compliance and operational consistency.
∎ Maintain accurate records and inventory of the necessary quantity of uniforms/dresses for site employees, ensuring timely availability and compliance with uniform standards.
∎ Manage the end-to-end process of utility bill payments for the site office, including verification, processing, and ensuring timely payments to maintain uninterrupted utility services.
∎ Conduct regular follow-ups with dormitory team to ensure the seamless operation and functionality of the dormitory.
∎ Verify and process the attendance and leave records of support staff at both the site and dormitory on a monthly basis, ensuring accurate documentation for payment processing in accordance with the established agreements.
∎ Identify and source vendors for a variety of services and consumable items, coordinating the procurement of necessary items for the site office in accordance with specific requirements and needs.
∎ Regularly update the employee leave management system and maintain an accurate leave register, ensuring comprehensive tracking and documentation of employee leave records.
∎ Lead strategic planning and implementation of all facets of vehicle management, optimizing fleet operations for efficiency, compliance, and cost-effectiveness.
∎ Provide administrative support to conduct different meetings and seminar as per schedule.
∎ Monitor & follow-up security function of site office to ensure smooth security operation.
∎ Oversee and ensure the smooth management of the site office canteen, conducting regular follow-ups to maintain efficient and effective canteen operations.
∎ Manage and oversee site housekeeping operations, including staff supervision, procedural implementation, inventory management and compliance to maintain a clean, safe, and organized plant environment.
∎ Support the Site HR & Admin Manager in implementing new initiatives aimed at optimizing site administration costs.
∎ Ensure the meticulous maintenance and regular checking of essential site administration documents, including invoices, challans, bills, and registers, in accordance with the established schedule and SOP.
∎ Provide timely monthly, quarterly, and yearly administration reports in accordance with the specified schedule.
∎ Manage the seamless availability of office supplies at the site, overseeing procurement, maintaining inventory, and implementing efficient processes for sustained operational needs.
∎ Ensure the rigorous implementation of labor law compliance measures to uphold legal standards and foster a fair and lawful working environment.
∎ Support the Site HR & Admin Manager in various HR initiatives, encompassing recruitment, training, employee life cycle management, disciplinary process and organizational development efforts.

∎ Age at most 35 years
∎ Strong verbal and written communication skills
∎ Ability to lead and manage administrative team
∎ Proficient in various administrative tasks, including document management, scheduling, and office organization
∎ Efficient in prioritizing tasks, meeting deadlines, and managing time to maximize productivity.
∎ Proficient in fostering positive employee relations,
∎ Strong time management skills
∎ Ability to work independently and with a team
∎ Advanced skills in data analysis, spreadsheet management, and creating complex formulas and charts.
