Responsibilities & Context:
∎ Lead the recruitment process to hire qualified academic and non-academic staff, including recruiting, interviewing, and onboarding.
∎ Ensure smooth onboarding and offboarding processes for all employees, including expatriates.
∎ Prepare and issue documents such as Appointment Letters, Confirmation Letters, Employment Contracts, NoCs, and Job Descriptions.
∎ Collect and verify all necessary information for new employees, ensuring proper joining formalities.
∎ Administer the leave management process, ensuring compliance with school policies and government regulations.
∎ Maintain and update staff leave records accurately in the HRMS Portal / ERP.
∎ Recommended leave requests, including annual, sick, personal, and emergency leaves, in coordination with department heads.
∎ Monitor and communicate leave balances, ensuring transparency with employees.
∎ Analyze leave trends to identify potential absenteeism issues and implement strategies to address them.Prepare reports on staff attendance and leave data for management review.
∎ Handle expatriate staff services, including processing visa-related paperwork, such as work permits, renewals, and cancellations, via the OSS portal (BIDA).
∎ Arrange security clearances through the Special Branch (SB), NSI, and Ministry of Home Affairs.Manage extended visa applications with the Department of Passport and Immigration (DIP).
∎ Assist expatriates with settling into the local environment, providing guidance on housing, transportation, and cultural orientation as required.
∎ Maintain and update employee records, including personal files, performance reviews,Prepare and issue employee ID cards, business cards, and replace outdated cards as needed.
∎ Manage HR reports, attendance files, leave administration, and other essential records.
∎ Develop and implement HR policies and procedures in alignment with the school’s goals and legal requirements.
∎ Ensure compliance with local labor laws, educational regulations, and school policies.
∎ Conduct probationary performance evaluations and manage the annual appraisal process.
∎ Work with the Principal and Executive Vice President to draft and amend policies that address growing HR needs.
∎ Address employee grievances and foster a respectful and productive environment.
∎ Oversee employee relations matters, including conflict resolution, investigations, and disciplinary actions.
∎ Ensure workplace privacy and uphold ethical HR practices.
∎ Manage employee performance, career development, and training initiatives to enhance staff capabilities.
∎ Organize professional development programs to support the growth of teaching and non-teaching staff.
∎ Manage the HR budget to ensure cost-effective HR practices.
∎ Generate monthly HR reports for senior management, highlighting key metrics and updates.
∎ Collaborate with other departments, including Finance, to reconcile salary, increments, and other staff-related updates.
∎ Oversee the daily operations of the HR department.
∎ Support school leadership by providing HR-related guidance and insights.
∎ Perform additional HR duties as required to meet organizational needs.
