• Minimum 8–12 years of administrative experience.

• Strong leadership, documentation, and operational management skills.

• Strong understanding of the Islamic institutional environment and discipline structure.

Purpose of the Role

To ensure smooth, disciplined, and efficient administrative operations across campus(es), maintaining full compliance with institutional policies, Islamic values, and operational excellence standards.

The Head of Administration is responsible for leading and supervising all administrative and operational departments of the institution to ensure discipline, operational efficiency, compliance, financial control, and institutional stability.

The role focuses strictly on administrative governance and operational execution, ensuring structured systems, documentation, accountability, and performance monitoring across departments.

Departments Under Supervision

The Head of Administration directly supervises the following seven departments:

  1. Student Affairs

  2. Accounts

  3. Procurement & Inventory

  4. Marketing

  5. Maintenance & Transport

  6. Human Resource

  7. Printing & Publications

  8. IT & CCTV Monitoring

 

 

 

Core Responsibilities

1. Administrative & Operational Leadership

  • Lead and manage overall institutional administrative operations.

  • Ensure proper implementation of institutional policies and procedures aligned with Al Hasanain’s mission and vision.

  • Ensure discipline, structure, and workflow efficiency.

  • Ensure strict adherence to the Code of Conduct.

  • Monitor inter-department coordination.

  • Ensure operational readiness of the campus at all times.

2. Student Affairs Supervision

  • Supervise student discipline and welfare systems.

  • Monitor admissions handling and documentation process.

  • Ensure proper student record management.

  • Ensure a structured parent communication process.

  • Ensure structured PTM and records of the PTM are archived

3. Financial & Accounts Supervision

  • Supervise all financial operations, budgeting, and expenditure control.

  • Review and approve financial reports.

  • Monitor fee collection systems.

  • Oversee financial compliance and accountability.

  • Ensure transparency in salary disbursement (process oversight).

4. Procurement & Inventory Management

  • Supervise procurement activities.

  • Review and approve purchase requests.

  • Ensure cost-effectiveness and budget alignment.

  • Ensure proper vendor selection and documentation.

  • Prevent unauthorized procurement.

  • Ensure proper asset management and documentation of all Al Hasanain’s assets.

5. Marketing & Public Relations Supervision

  • Supervise institutional marketing activities.

  • Oversee digital marketing (website, social media).

  • Monitor admissions campaign performance.

  • Ensure brand consistency and institutional image.

  • Maintain professional community relationships.

6. Maintenance & Transport

  • Oversee maintenance, security, logistics, transport, and housekeeping.

  • Ensure timely repairs to infrastructure, utilities, and safety compliance.

  • Conduct regular facility inspections.

  • Ensure campus cleanliness and hygiene standards.

  • Monitor health & safety standards.

  • Supervise housekeeping staff discipline.

  • Monitor food service operations and hygiene compliance.

  • Supervise construction and infrastructure projects when applicable.

7. Transport Management

·       Supervise the entire school transport system.

·       Ensure safe, timely, and disciplined student transportation.

·       Monitor vehicle maintenance schedules and documentation.

·       Ensure valid licenses, insurance, and compliance documents.

·       Monitor driver and transport staff discipline and punctuality.

·       Ensure route optimization and efficiency.

·       Address parent transport complaints promptly.

·       Conduct regular transport safety inspections.

·       Ensure zero tolerance for unsafe driving practices.

·       Maintain transport incident documentation and reporting.

8. HR Department Supervision

  • Supervise HR operational compliance starting from Recruitment & Selection.

  • Ensure proper documentation and policy & Code of Conduct implementation.

  • Monitor teachers, admin officers, and staff discipline, leave, and attendance.

  • Coordinate disciplinary procedures with HR when required.

  • Oversee performance appraisal system implementation.

  • Ensure training and development execution.

9. IT, Printing & CCTV Monitoring Supervision

  • Supervise institutional software systems.

  • Ensure secure digital records management.

  • Monitor CCTV compliance and campus safety.

  • Oversee printing operations and document control.

  • Ensure data security and system functionality.

10. Event & Operational Coordination

  • Oversee logistics for exams, meetings, events, and institutional programs.

  • Coordinate with the Academic and Administrative departments for smooth operations.

  • Ensure readiness of campus facilities for inspections and audits.

11. Institutional Systems & Reporting

  • Ensure structured reporting systems across all departments.

  • Submit a consolidated monthly administrative report to the Vice Principal and the Founder Director.

  • Identify operational gaps and recommend improvements.

  • Maintain compliance with institutional policies and Islamic values.

  • Ensure compliance with Child Safeguarding Policy.

  • Ensure confidentiality and secure handling of institutional records.
