Additional Requirements:

Education: Bachelor’s in Management, Human Resource Management.

Working Experience in:

  • 6 months of experience will give an advantage.

  • HR, administration, or relevant support roles

  • Basic understanding of HR functions (recruitment, documentation, Leave, HRIS).

Responsibilities & Context:

To support the HR Department in day-to-day administrative and recruitment activities while gaining practical experience in human resource management processes, including recruitment, documentation, recordkeeping, and employee support

General HR-Part-1: (Pre-Employment Process) - 30%

  • Assist in collecting job requisitions and updating recruitment trackers.

  • Help post job advertisements on approved job portals and platforms.

  • Support in collecting and sorting CVs as per selection criteria.

  • Communicate with candidates regarding interview schedules via email, phone, or SMS.

  • Provide logistical and administrative support during written tests and interviews.

  • Assist in preparing candidate tabulations and maintaining recruitment files.

Employee Documentation & Recordkeeping - 20%

  • Support in preparing and organising joining documents for new staff.

  • Assist in maintaining personnel files and ensuring all required documents are properly filed.

  • Help in scanning, labelling, and archiving HR documents.

  • Update staff data in digital and manual registers under supervision.

  • Assist in maintaining attendance and leave records as instructed

HR Administrative Support- 15%

  • Provide administrative assistance for HR-related correspondences and forms.

  • Assist in preparing basic HR letters (joining, confirmation, etc.) under guidance.

  • Support logistics and documentation for staff orientation and induction programs.

  • Maintain HR inventories and stationery records.

  • Assist in data entry for HRIS and other HR databases

Training & Development Support - 20%

  • Assist in organising training sessions, workshops, and internal learning events.

  • Help with participant lists, attendance sheets, and feedback form collection.

  • Support in updating training and capacity-building databases

Administrative & Reporting Support - 10%

  • Support in maintaining HR inventories and office supplies.

  • Assist in preparing HR-related reports and statistics.

  • Help coordinate consultant hiring documentation under the supervision of the HR Officer.

  • Assist in maintaining leave records, attendance sheets, and monthly HR summaries

Other Requirements - 5%

  • Participate and assist during organisational campaigns and seasonal programs (Ramadan, Qurbani, Winterisation, etc.).

  • Maintain confidentiality and handle information sensitively.

  • Ensure adherence to safeguarding, PSEA, and child protection standards in all HR activities.

  • Perform any other duties assigned by the HR Officer or HR Management Team.

  • Ensure the safety of team members from any harm, abuse, neglect, harassment, exploitation, Fraud, Bribery & Money Laundering to achieve the program’s goals of safeguarding implementation and as well as Act as a key source of support, guidance, and expertise on the safeguarding of harm, abuse, neglect, harassment, and exploitation, Fraud, Bribery & Money Laundering for establishing a safe working environment

  • Perform any other duties assigned by the Supervisor.
