Experience:
Bachelor’s degree in Human Resources, Business Administration, or related field
Minimum 2-3 years of relevant working experience in HR and Administration (NGO experience preferred).
Strong organizational and record-keeping skills
Familiarity with HR systems (e.g., Odoo) is an advantage
Good communication and interpersonal skills
Ability to maintain confidentiality and professionalism
Basic computer skills (MS Word, Excel, email)
Ability to work independently and attend online-based meeting training through Teams.
Ability to multitask and work under pressure
Perform any other duties assigned by the Finance and HR Coordinator and Perform any other duties assigned by the Finance and HR Coordinator. Must be ready to accept additional responsibilities as given by the supervisor and ready to work beyond working hours, at times, for the greater interest of the organization as and when needed.
Willingness and ability to travel as required.
Networking: (5% of time) Visit local Govt. admin authorities, NGOs/INGOs, and stakeholders, with the prior permission of F&HR Coordinator, to build a relationship and understanding.
Others: (5% of time) Attend in-house and outside training as directed by the F&HR Coordinator.

JOB SUMMARY:
To support the HR and administrative functions by ensuring proper staff documentation, recruitment support, leave management, office maintenance, and coordination across departments in a timely and confidential manner. This position reports to the Finance and HR Coordinator and works in his/her direction.
MAIN DUTIES AND RESPONSIBILITIES

Perform a variety of ultrasound examinations, including
She/He will devote time to the following broad headings:
A. Human Resources (HR) Functions 60%
1. Staff Records & Documentation
Maintain updated staff files (both hard copy and soft copy)
Ensure proper documentation of contracts, personal records, and HR forms
Prepare staff and volunteer contracts, onboarding, and offboarding documents
Maintain strict confidentiality of all HR-related information
2. Leave & Attendance Management
Maintain leave records and leave tracker regularly
Manage timesheets and leave data using Odoo system
Communicate with staff regarding leave approval, balance, and confirmation
Collect and verify supporting documents for leave requests
3. Recruitment Support
Assist in recruitment processes (job posting, shortlisting, scheduling interviews)
Maintain tracker recruitment and update regularly
Support the onboarding process for newly recruited staff
4. HR Data Management
Maintain and regularly update staff master sheet
Ensure all HR trackers (leave, recruitment, attendance) are accurate and up to date
Coordinate with different departments to collect and update HR-related information
5. Coordination & Communication
Work closely with HR and Finance Coordinators on HR and admin tasks
Coordinate with other departments for documentation and HR processes
Support preparation of staff ID cards
B. Administrative Functions 30%
1. Office Management
Ensure office premises are clean and well-maintained and guide office cleaner to follow this
Check functionality of office facilities (lights, fans, AC, etc.)
2. Inventory & Store Management
Receive office supplies and ensure proper storage
Maintain store records accurately
Prepare material requisitions as needed
Provide monthly stock and usage reports
3. Visitor & Field Support
Maintain records/files for external visitors
Support field movement and logistics as required by the supervisor.
4. Reporting
Prepare and submit regular reports to the Finance and HR Coordinator
Assist in administrative and HR reporting tasks
Working Days and Hours: Sunday to Thursday, weekly 40 hours
Salary and Benefits: We offer a healthy Salary package of BDT-45,000 for an eligible candidate and other benefits like 2 festival bonuses per year equal to one month’s basic salary, Medical Insurance coverage, Staff and dependency, mobile allowance, per diem for field visits, severance allowance, and other administrative benefits as per MedGlobal policy.
