Responsibilities & Context:
  • Human Resources Planning: To plan, review and forecast human resources requirements to recruit the required number of employees, with the required skills, at the required time.

  • Recruitment Policies and Procedures: To ensure that employee selection and appointments are carried out in a structured and systematic approach to meet HR policy, local legislation and managed in a cost-effective way.

  • Quality of Recruitment Practices: To use selection methodology that enables Omni to test the candidate’s ability and match, such as structured interviews, behavioral based questions and psychometric tools. To train line managers and resourcing executives on techniques to ensure a high quality of standard is achieved.

  • Reporting: To provide comprehensive reports to record cost of recruitment, source, cost of advertisements and retention periods of new hires. To support additional reporting as required by the National HR Manager.

  • Vacancies Advertisements/Notices: To plan and coordinate external/internal advertisements to target a suitable pool of candidates through appropriate channels, taking advantage of new technology where appropriate. To ensure advertisement aligns to the marketing brand position and incorporates Omni’s values and benefits to position the company as an employer of choice.

  • Budget: To manage the recruitment and advertising cost line to ensure it is within budget and where possible look for cost saving initiatives.

  • HRIS: To manage the implementation and maintenance of the HRIS to ensure a comprehensive and up to date record of all personnel information is maintained. To ensure that the incumbent is fully trained and familiar with the system to produce reports to meet the business requirements. To continuously review efficiencies of processes, technological solutions and cost options to best serve Omni business.

  • Security: To ensure the system is secured and information is managed discretely and confidentially. To manage the correct level of user access to maintain a secure site whilst satisfying users.

  • Information Technology: In conjunction with IT ensure that appropriate infrastructure, applications, connectivity, and interfaces are linked to support the HRIS.

  • Management of Records: To archive and purge data as required to ensure the systems is accurate and efficiency maintained. To manage the data entry to ensure that information is correct to enable the company to have correct predications and budget salary adjustments correctly.

  • General HR Administration: To ensure that all HR records are efficiently filed, and that supply agreements and services are managed effectively.

  • Job Analysis: To support the business in conducting job analysis and training managers to write effective job descriptions to a consistent and appropriate standard.

  • Legislation: Monitors legislation and regularly changes to determine impact on compensation and benefits provisions.

  • Reporting and Records: To assist with preparation and compilation of timely and accurate monthly HR reports and other reports as required by Management for the purpose of evaluating personnel cost and performance.

  • Budgets: Manage the salary budget to ensure FTE tracking and salary costs are within budget. Provide accurate information to support annual operating plans and salary reviews.

  • Communication: Writes clear and concise reports, correspondence and advertisements. Speaks clearly and articulately on the telephone and face to face. Convinces others to accept recommendations. Asks probing questions to elicit information. Listens carefully.

  • Following Procedures: Follows standard procedures. Ensures others adhere to agreements, policies, procedures and deadlines. Maintain systems. Monitor expenditure against budget.

  • Business Awareness: Understands the business as a whole and how effective recruitment and contribute profitability. Understands business strategies and staffing implications. Recognizes the importance of the job-person match.

  • Analysis: Analyses verbal and numerical information accurately, identifies trends, critically evaluates behavior, appraises performance and development needs objectively, makes recommendations on the basis of thorough analysis.

  • Improving the Service: Keeps up to date with the implications of legislation. Willing to learn new systems and procedures. Identifies appropriate assessment techniques and ways to improve recruitment practices. Avoids past mistakes.
