A. Job Summary:
The Admin and Logistics Officer is responsible for ensuring the smooth functioning of administrative and logistical operations within the organization. This role involves managing office administration, procurement, inventory, fleet and logistics support while ensuring compliance with organization al policies and donor requirements. The officer will work closely with different departments to facilitate seamless operations.
B. Key Responsibilities
Administrative Support:
Maintain and update office records, files, and documents.
Oversee office maintenance, cleanliness and security.
Manage office supplies, utilities and equipment.
Support HR with staff attendances, leave record and personnel documentation.
Coordinate meetings, workshops and training sessions, including venue arrangement.
2. Logistics and Procurement:
Ensure time procurement of goods and services following procurement policies.
Maintain vendor relationships and negotiate contracts.
Keep trac of inventory and asset management.
Ensure timely delivery of materials and supplies to project sites.
Supervise transportation and distribution logistics.
3. Fleet and Travel Management:
Manage the organization’s fleet, ensuring proper usage and maintenance.
Coordinate staff travel, including transportation, accommodation, and allowances.
Ensure compliance with travel policies and security.
4. Compliance and Reporting:
Ensure compliance with organizational policies and donor regulations.
Prepare and submit reports on logistics, inventory, and administrative functions.
Maintain update records of assets, procurements and logistical transactions.
5. Coordination and Communication:
Liaison with internal teams and external vendors/service providers.
Assist in organizing and executing office events, workshops and field visits.
Support emergency response logistics when needed.
7. Additional Responsibilities
· Perform the duties of Finance Officer as required.
· Perform duties assigned by the AVAS Executive Director.
C. Qualifications, Experience and Skill:
1. Education:
· Master degree in Management, Finance, or a related Field.
2. Experience:
Minimum 2-3 years of experience in administration and logistics, preferably in and NGO/INGO or development sector.
Strong knowledge of procurement, supply chain and fleet management.
3. Skill:
Proficiency in MS Office (Word, Excel, Power Point) and logistics management software.
Excellent organizational and multitasking skills.
Strong communication and negotiation abilities.
Ability to work under pressure and meet deadlines.
Understanding of financial and compliance regulations related to logistics and procurement.
Motorcycle deriving with a valid lenience.
