SKILLS: Planning, Office management, Administration, and Management, Time management, Policy and procedure and data management.

COMPETENCIES: Facilitating group meetings, managing timelines, oral and written fluency in both Bangla and English are required. Full professional competency in Microsoft Office, Excel, and PowerPoint.

This position will assist the Deputy Manager, Admin and Logistics, Operation Team and relevant department in ensuring overall administrative and logistical support to ensures smooth coordination of activities, efficient resource management, and timely delivery of operational support as per project needs.

• Manage and maintain schedule and coordinate to arrange appointments, meetings, conferences and others similar activities as well as prepare response to correspondence and continue routine inquiries.

• Coordinate with admin & logistic, procurement, HRD, Finance and other sectors & relevant units on necessary issues.

• Arrange meetings, workshops, and training sessions as per management requirements.

• Assists the Deputy Manager, Admin and Logistics in the budget requirement, procurement plan etc. for admin and logistics support as per the project needs.

• Track administrative and procurement-related costs, and collaborate closely to ensure alignment with approved plans and procurement processes.

• Facilitate communication between Cox’s Bazar Office and field offices. Oversee administrative processes including documentation, reporting, and record-keeping.

• Ensure adherence to organizational standards and donor requirements.

• Support budgeting, procurement, and financial tracking related to field operations Manage transportation, supply chain, and distribution of project materials.

• Ensure timely delivery of resources to field offices.

• Maintain inventory systems and oversee asset management.

• Liaise with local authorities, partners, and community representatives.

• Support coordination meetings and contribute to project planning discussions.

• Identify operational risks and propose mitigation strategies.

• Ensure compliance with safety, security, and organizational protocols.

• Coordinate and monitor field activities to ensure smooth implementation of projects.

• Prepare FD-6, FD-7, and the Annual Report in compliance with NGOAB requirements, and support government liaison efforts

• Hold responsibilities of final budget and related BoQ and ensure the correct calculations are maintained in all the steps.

Safeguarding

• Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme`s goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.

• Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action. 

• Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
