Domicile Group is a growing business group with interests in real estate development, construction, property and investment.
As the Group enters its next stage of growth, we are building a strong professional management team and establishing the systems, processes and culture required to operate at a higher level.
We are looking for an experienced, highly organized and proactive Operations & HR/Admin Manager who can take ownership of people, administration and day-to-day business operations.
This is a core management position. The successful candidate will work closely with the Managing Director and will be expected to bring structure, accountability and professionalism to the organization.
The primary objective of this role is to ensure that the right people are hired, employees are properly managed, office operations run smoothly, and management decisions are executed efficiently.
The ideal candidate should be capable of identifying problems, taking initiative and getting things done without requiring constant supervision.
Own the day-to-day HR function of the organization.
Work with management to identify current and future hiring requirements.
Prepare professional job descriptions and recruitment plans.
Manage recruitment through Bdjobs, LinkedIn, referrals and other channels.
Screen CVs and shortlist suitable candidates.
Conduct initial interviews and candidate assessments.
Coordinate final interviews with management.
Manage offers, joining procedures and onboarding.
Maintain complete and confidential employee records.
Manage attendance, leave, probation and employee status.
Coordinate performance reviews and employee evaluations.
Track employee performance and raise concerns with management.
Assist management in developing compensation, incentive and HR policies.
Build a professional, accountable and performance-oriented workplace culture.
A major responsibility of this role will be helping management build and maintain a high-quality team.
The candidate will:
Understand the company’s staffing requirements.
Proactively source strong candidates.
Maintain a pipeline of potential hires.
Ensure recruitment processes are organized and timely.
Help management compare candidates objectively.
Maintain recruitment records and interview notes.
Track vacancies from requirement → hiring → joining → probation.
Continuously look for better talent as the organization grows.
The goal is not simply to fill vacancies, but to help build a high-performing A-Team.
Take ownership of day-to-day internal operations.
Coordinate between departments and employees.
Track important assignments, deadlines and deliverables.
Follow up on pending and overdue tasks.
Ensure management instructions are properly communicated and followed through.
Maintain action-point trackers from management meetings.
Identify operational bottlenecks and coordinate solutions.
Escalate important issues to the Managing Director in a timely manner.
Help establish clear accountability across the organization.
Manage overall office administration.
Ensure the office remains professional, organized and fully operational.
Manage stationery, supplies and office inventory.
Coordinate maintenance, cleaning, utilities, internet and other services.
Manage office vendors and service providers.
Maintain administrative documentation.
Coordinate meeting rooms and office arrangements.
Ensure employees have the resources required to perform their responsibilities.
Establish and maintain professional workplace standards.
Monitor attendance, punctuality and leave.
Ensure employees follow company policies and procedures.
Follow up on performance and behavioral issues.
Maintain proper documentation of employee matters.
Encourage a culture of ownership, punctuality and execution.
Escalate serious issues to management when required.
The candidate will be expected to build systems, not simply operate existing ones.
Responsibilities include:
Develop practical HR and administrative SOPs.
Establish recruitment and onboarding systems.
Create employee documentation systems.
Develop task and accountability tracking systems.
Improve internal communication processes.
Establish reporting routines.
Identify inefficient processes and recommend improvements.
Help create a more structured and scalable organization.
Provide the Managing Director with regular, accurate updates covering:
Recruitment pipeline
Employee headcount
Attendance and leave
Probation status
Employee performance/issues
Pending management tasks
Departmental follow-ups
Office/admin matters
Operational problems
Important decisions or actions required
The Managing Director should be able to quickly understand what is happening inside the organization through this reporting.

Bachelor’s degree in Business Administration, Human Resources, Management, Operations Management or a related field.
MBA/Master’s degree will be an advantage.
5–8 years of relevant professional experience in HR, administration, operations, office management or a similar management role.
Experience in a growing company, business group, real estate, construction, investment or corporate environment will be an advantage.
Previous experience managing recruitment and internal operations is strongly preferred.
Strong MS Office / Google Workspace skills
