Additional Requirements:

Responsibilities & Context:

Organizational Design, Transformation & Change Management

  • Collect and compile department-wise information (roles, reporting lines, manpower list, JD updates) to support organizational design & development

  • Maintain updated organograms and assist in preparing revised versions based on instructions from the HR Head.

  • Support documentation activities for OD initiatives, including workflow mapping, JD revisions, and role clarity templates.

  • Track and update change-related documents (e.g., new structures, new policies, revised reporting lines) and ensure proper filing and version control.

  • Communicate approved structural or policy changes to employees and project sites in a timely and accurate manner.

  • Provide administrative support during change rollouts (meeting coordination, note-taking, follow-up communication).

  • Prepare simple reports, summaries, and presentation-ready data for OD/Change projects as instructed.

  • Support implementation of small-scale improvements (e.g., new forms, checklists, notice formats, workflow improvements).

Recruitment & Development

  • Coordinate full recruitment cycle: job posting, CV screening, interview scheduling, assessment coordination, joining formalities.

  • Prepare and Maintain recruitment trackers for HR and Management Teams

  • Prepare appointment, offer, confirmation, extension, and transfer letters.

  • Conduct joining orientation for new employees and maintain onboarding checklists.

  • Support in Performance Management Process and ensure all employees have designated KPIs, dialogues with supervisors, mid-year evaluation and annual evaluation timely

  • Support in annual succession planning review and re-adjust as per outcome of performance management

  • Maintain talent database for project and head office hiring needs.

  • Assist in planning and documenting training, toolbox sessions, safety briefings, and internal knowledge-sharing sessions.

HR Operations

  • Daily attendance monitoring (biometric, manual registers, OT sheets) for HO + all sites.

  • Ensure 100% accuracy of monthly attendance and OT inputs for Payroll.

  • Maintain individual personnel files (hard + soft) and update HRIS/Excel databases.

  • Prepare monthly HR reports: headcount, joins, exits, attendance summary, disciplinary actions, vacancies.

  • Draft HR letters and administrative documents as needed.

  • Coordinate ID cards, phone SIMs, email IDs, onboarding kits, and asset issuance.

  • Support internal audits, compliance documentation, and BLL record maintenance.

Employee Relations

  • Develop and deploy HR policies under the guidance of the HR Manager and ensure proper communication across all employees

  • Engage with employees (head office + project sites) to resolve simple grievances and escalate complex cases.

  • Monitor discipline, absenteeism, late/early leave, and site behavioral issues; escalate as per BLL and HR policy.

  • Assist in investigations, fact-finding, documentation, and preparation of show-cause, warning, penalty, suspension letters.

  • Support implementation of HR company rules, code of conduct, grooming/behavior standards across sites.

  • Maintain a confidential log of incidents, misconducts, disputes, and resolutions.

  • Support HR Head in counselling sessions and employee communication

Required Qualifications

  • BBA/MBA in Human Resources Management (HRM) or Management from any reputed University

  • 2-3 years of Core HR experience (not Admin) in a professional institution

  • Good grasp/working knowledge of HR Policies and HR Processes

  • Working knowledge of Bangladesh Labour Law
