Responsibilities & Context:

1. Front Desk Management

  • Greet and welcome all visitors, buyers, auditors, vendors, job applicants, and employees in a professional and courteous manner.

  • Maintain a clean, organized, and professional reception area.

  • Ensure visitors receive proper assistance and are directed to the appropriate department or personnel.

2. Visitor Management & Security

  • Maintain the visitor register and issue visitor badges or passes.

  • Verify visitor identity according to factory security procedures.

  • Inform concerned departments about visitor arrivals.

  • Ensure compliance with factory access control and security policies.

  • Coordinate with the Security Department regarding visitor movement.

3. Telephone & Communication Management

  • Receive and transfer incoming telephone calls efficiently.

  • Handle inquiries professionally and provide accurate information.

  • Record and forward messages to concerned employees.

  • Maintain telephone directories and emergency contact lists.

4. Mail, Courier & Document Handling

  • Receive, record, and distribute incoming letters, parcels, and courier documents.

  • Arrange dispatch of outgoing documents through courier services.

  • Maintain courier registers and delivery records.

  • Ensure confidential documents are handled securely.

5. Administrative Support

  • Assist the HR and Administration Department with routine administrative tasks.

  • Maintain records of meeting room bookings.

  • Arrange refreshments for management meetings, buyers, and auditors when required.

  • Prepare basic reports related to reception activities.

6. Buyer & Auditor Support

  • Welcome buyers, auditors, and business guests professionally.

  • Coordinate with concerned departments before scheduled visits.

  • Arrange meeting rooms and necessary facilities.

  • Ensure visitors experience a professional and organized environment.

7. Employee & Candidate Assistance

  • Guide job applicants regarding interview procedures.

  • Assist employees with basic information related to administrative services.

  • Coordinate with HR for interview schedules and candidate arrivals.

8. Office Coordination

  • Coordinate with Administration, HR, Security, Compliance, and other departments.

  • Monitor reception supplies and request replenishment when necessary.

  • Report maintenance issues in the reception area.

9. Record Keeping

  • Maintain accurate records of visitors, phone calls, courier services, and official correspondence.

  • Ensure proper filing and documentation according to company procedures.

10. Compliance & Confidentiality

  • Maintain confidentiality of company information and documents.

  • Follow company policies, Code of Conduct, and compliance requirements.

  • Support factory compliance during buyer, customer, and certification audits.

  • Adhere to workplace safety and security procedures.

11. Emergency Response

  • Assist during emergency situations by notifying relevant personnel.

  • Support evacuation procedures according to the factory emergency response plan.

  • Maintain updated emergency contact information.

Additional Responsibilities

  • Perform any other duties assigned by the HR Manager, Administration Manager, or Factory Management.

  • Support company events, training sessions, and employee engagement activities as required.
