Responsibilities & Context:

Appointment & Schedule Management

  • Maintain and update calendars for senior management or departments.

    1. Schedule and confirm meetings, conferences, and appointments.

    2. Ensure proper time management and avoid scheduling conflicts.

Meeting & Conference Coordination

  • Arrange logistics for internal and external meetings, including venue, equipment, and refreshments.

    1. Prepare and distribute meeting agendas, minutes, and related documents.

    2. Coordinate with relevant departments and participants for smooth execution.

Foreign & Domestic Business Coordination

  • Manage communication and scheduling with international clients, partners, and delegations.

    1. Support visa processing, travel documentation, and itinerary planning.

    2. Maintain professionalism in cross-cultural communication and correspondence.

Travel Management

  • Arrange domestic and international travel, including flight bookings, accommodation, and transport.

    1. Prepare detailed travel itineraries and ensure travel-related expenses are documented and settled.

    2. Coordinate with travel agencies and ensure cost-effective arrangements.

Communication & Documentation

  • Draft, review, and send official correspondence, emails, and reports.

    1. Maintain proper filing systems (digital and physical) for easy access to important documents.

    2. Act as a liaison between management, clients, and staff.

Event & Visitor Management

  • Organize conferences, workshops, and special events as per organizational requirements.

    1. Welcome and assist foreign and local visitors, ensuring a professional and hospitable environment.

Administrative Support

  • Handle general office coordination and ensure all administrative tasks are completed efficiently.

    1. Support HR and finance teams in documentation related to travel and meetings.
