Responsibilities & Context:

Key Responsibilities in Detail:

  • Inventory Management & Control:

    • Maintain accurate, up-to-date records of all stock movements using inventory management systems or software.

    • Perform regular cycle counts, physical inventory audits, and reconciliations to ensure data integrity.

    • Monitor stock levels to initiate reordering, ensuring part availability while avoiding overstocking.

    • Implement stock rotation (e.g., FIFO - First In, First Out) to minimize obsolescence.

  • Receiving & Storing Parts:

    • Receive, unload, and inspect incoming shipments for damage, defects, and discrepancies against purchase orders (PO).

    • Sort, label, and store parts systematically in designated racks or bins for easy retrieval.

    • Manage hazardous materials according to safety guidelines.

  • Issuing & Distribution:

    • Process requests and issue parts to maintenance personnel or technicians, updating records immediately.

    • Prepare parts for shipment, including picking, packing, and labeling, if necessary.

  • Logistics & Maintenance:

    • Keep the warehouse/store area clean, organized, and safe, adhering to safety regulations.

    • Collaborate with purchasing/procurement departments for efficient restocking.

    • Coordinate with internal departments to forecast demand and address urgent parts needs.

  • Documentation & Reporting:

    • Prepare reports on inventory status, usage, and stock discrepancies.

    • Maintain documentation such as Goods Received Notes (GRN) and material issue vouchers.
