Responsibilities & Context:
  • Analyze the company’s overall production and business requirements and develop long-term and short-term procurement strategies for paddy, wheat, maize, and mustard,

  • Prepare, approve, and implement monthly, quarterly, and annual procurement plans in alignment with production schedules, sales forecasts, and stock positions,

  • Continuously analyze national and regional market supply, demand, seasonal production, import-export situation, and price fluctuations to ensure timely procurement decisions,

  • Identify, verify, evaluate, and develop databases of local farmers, traders, millers, wholesalers, and potential suppliers,

  • Develop new suppliers (supplier development) and maintain long-term strategic relationships with existing suppliers,

  • Negotiate prices, payment terms, and contractual conditions to ensure cost-effective procurement,

  • Ensure procurement of paddy, wheat, maize, and mustard in compliance with defined quality specifications (moisture level, grain quality, purity, cleanliness, etc.),

  • Coordinate with Quality Control (QC) team for inspection, sampling, grading, and acceptance of goods,

  • Supervise field-level procurement activities including collection, weighing, loading, and transportation to ensure transparency and prevent irregularities,

  • Verify purchase orders (PO), contracts, invoices, and related documents to ensure accuracy, transparency, and compliance,

  • Coordinate with warehouse management team for proper receipt, storage, stock maintenance, and security of goods,

  • Coordinate with production and logistics teams to ensure uninterrupted raw material supply without any production disruption,

  • Monitor stock levels, inventory turnover, safety stock, and reorder levels to prevent shortages or overstock situations,

  • Prepare, control, and monitor procurement budgets and implement cost optimization initiatives,

  • Evaluate supplier performance based on price, quality, and delivery timeliness, and prepare comparative analysis reports,

  • Collect and analyze market intelligence regarding prices, competitor procurement strategies, and supply conditions,

  • Prepare and submit regular procurement reports, price analysis, stock reports, and management updates to head office within deadlines,

  • Lead, supervise, and evaluate procurement team performance including field buyers and procurement officers,

  • Set clear targets for the team, monitor daily/monthly performance, and take corrective actions when required,

  • Ensure effective coordination between field teams, head office, and other departments (finance, supply chain, production),

  • Identify procurement risks such as price volatility, seasonal shortage, transport issues, and quality risks, and develop risk mitigation plans,

  • Develop alternative sourcing channels to ensure uninterrupted supply in any emergency situation,

  • Ensure timely verification, approval, and payment of supplier bills in coordination with the finance department,

  • Conduct regular field visits to monitor procurement activities and ensure transparency and compliance,

  • Ensure all procurement activities are carried out strictly in accordance with company policies, procurement guidelines, and approved procedures,

  • Implement continuous improvement initiatives to enhance product quality, supply chain efficiency, and procurement processes.
