a)     Analyze the company’s overall production and business requirements and develop long-term and short-term procurement strategies for paddy, wheat, maize, and mustard,

b)     Prepare, approve, and implement monthly, quarterly, and annual procurement plans in alignment with production schedules, sales forecasts, and stock positions,

c)     Continuously analyze national and regional market supply, demand, seasonal production, import-export situation, and price fluctuations to ensure timely procurement decisions,

d)     Identify, verify, evaluate, and develop databases of local farmers, traders, millers, wholesalers, and potential suppliers,

e)     Develop new suppliers (supplier development) and maintain long-term strategic relationships with existing suppliers,

f)      Negotiate prices, payment terms, and contractual conditions to ensure cost-effective procurement,

g)     Ensure procurement of paddy, wheat, maize, and mustard in compliance with defined quality specifications (moisture level, grain quality, purity, cleanliness, etc.),

h)     Coordinate with Quality Control (QC) team for inspection, sampling, grading, and acceptance of goods,

i)       Supervise field-level procurement activities including collection, weighing, loading, and transportation to ensure transparency and prevent irregularities,

j)       Verify purchase orders (PO), contracts, invoices, and related documents to ensure accuracy, transparency, and compliance,

k)     Coordinate with warehouse management team for proper receipt, storage, stock maintenance, and security of goods,

l)       Coordinate with production and logistics teams to ensure uninterrupted raw material supply without any production disruption,

m)   Monitor stock levels, inventory turnover, safety stock, and reorder levels to prevent shortages or overstock situations,

n)     Prepare, control, and monitor procurement budgets and implement cost optimization initiatives,

o)     Evaluate supplier performance based on price, quality, and delivery timeliness, and prepare comparative analysis reports,

p)     Collect and analyze market intelligence regarding prices, competitor procurement strategies, and supply conditions,

q)     Prepare and submit regular procurement reports, price analysis, stock reports, and management updates to head office within deadlines,

r)      Lead, supervise, and evaluate procurement team performance including field buyers and procurement officers,

s)      Set clear targets for the team, monitor daily/monthly performance, and take corrective actions when required,

t)      Ensure effective coordination between field teams, head office, and other departments (finance, supply chain, production),

u)     Identify procurement risks such as price volatility, seasonal shortage, transport issues, and quality risks, and develop risk mitigation plans,

v)     Develop alternative sourcing channels to ensure uninterrupted supply in any emergency situation,

w)    Ensure timely verification, approval, and payment of supplier bills in coordination with the finance department,

x)     Conduct regular field visits to monitor procurement activities and ensure transparency and compliance,

y)     Ensure all procurement activities are carried out strictly in accordance with company policies, procurement guidelines, and approved procedures,

z)      Implement continuous improvement initiatives to enhance product quality, supply chain efficiency, and procurement processes.
