Job Context:
∎ Proven experience as administration manager with good organizational skills, including the ability to prioritize, multi-task, and work effectively.
∎ Exceptional time, task and resource management skill.
∎ An analytical mind with problem-solving skills.
∎ Familiarity with product, market dynamics and vendor management principles & techniques.
∎ Well behaved and convincing.

Job Responsibilities:
∎ Responsible for managing purchases for General procurement - check requisition and purchase records in the system before placing an order with the vendor.
∎ Conduct sourcing activities as per the requirements generated by internal departments and make RFQ/ RFI to send to the vendors.
∎ Collect quotations/ PI, price lists from vendors for required products and compare with all possible alternatives before finalizing.
∎ Prepare comparative statement to evaluate vendor quotations as per quantity and technical requirements from users and review supply arrangements that will deliver value for money.
∎ Negotiate procurement terms & conditions with the vendors before placing order and issuing Purchase Order/ Indent.
∎ Follow up with vendors till delivery of products. Check incoming products and take corrective actions if any discrepancies are found.
∎ Create Time & Action plan (TNA) for tracking work status and follow up regularly.
∎ Work with Inventory team for making, implementing & monitoring effective procurement/ sourcing schedules & stabilizing the quantity limits for effective inventory control (minimum reorder quantity, etc.)
∎ Identify areas of cost control while working closely with Inventory team. Discuss possible actions that can be taken towards cost optimization, plan and initiate implementation after a thorough check and feasibility analysis.
∎ Build and maintain a strong network and collaborative relationships within and outside the organization with all parties that come in interaction (like vendors, suppliers, etc.)
∎ Vendor performance evaluation – Classification of vendors on the basis of criteria like product category, cost, quality, timely delivery etc. Give vendor ratings.
∎ Identifying new vendors & finalize the appropriate vendors with best rates, quality & services.
∎ First level Verification of bills submitted by vendors. Raising debit notes for any shortage of goods received.
∎ Ensure to submit bills and other documents regularly and properly to concerned departments to clear payments as per committed period with the vendor.
∎ Coordinate with Finance team for timely bill processing of vendor payments.
∎ Plan schedules and conduct audits with new as well as existing vendors. Ensure all documentation is maintained for such inspections and audits.
∎ Develop an effective team by providing leadership, motivation & support to the team.
