Responsibilities & Context:

Job Summary

The HR Officer (Female) will be responsible for managing day-to-day HR operations. The HR Officer (Female) will be responsible strictly for Human Resources functions, ensuring structured HR operations, disciplined workforce management, and policy compliance within the institution.

She must clearly understand and uphold the Mission and Vision of Al Hasanain, ensuring that internal culture, professional conduct, communication standards, and discipline of all Ustadahs and supporting staff remain aligned with institutional values and Islamic principles.

The role requires strong documentation capability, confidentiality, and the ability to maintain a structured, Shari’ah-compliant female-only work environment.

Key Responsibilities

Mission & Culture Alignment

  • Understand and internalize the Mission and Vision of Al Hasanain.

  • Promote alignment of staff behavior, professionalism, and communication with institutional values.

  • Monitor and report any cultural or conduct misalignment.

  • Support management in maintaining Islamic institutional standards.

HR Operations

  • Manage day-to-day HR operations.

  • Maintain and update employee personal files and HR documentation.

  • Ensure full compliance with HR policies and procedures.

  • Maintain structured digital and physical HR records.

  • Ensure strict confidentiality of all employee information as Amanah.

Attendance & Leave Management

  • Monitor daily attendance of Teachers, Admin Officers, and Staff.

  • Prepare a Daily Attendance Report and submit it to the respective departments

  • Maintain accurate leave and late records.

  • Prepare monthly attendance and leave summaries.

  • Submit the Monthly Attendance Report by the 3rd working day of each month.

  • Coordinate attendance data with Accounts for payroll processing.

Recruitment & Selection

  • Assist in Job circulars and primary CV screening.

  • Coordinate interviews and candidate communication.

  • Prepare interview documentation and evaluation reports.

  • Assist in onboarding and orientation of new employees.

  • Ensure the recruitment process follows the recruitment SOP.

HR Documentation & Letters

  • Prepare 13+ types of letters, including offer, appointment, confirmation, probation extension, show cause, NOC, Salary Certificate, Experience, and warning, etc. letters

  • Issue HR letters within 24–48 hours of approval.

  • Maintain complete and updated personnel files.

  • Prepare and circulate Officer Orders immediately

Performance Management Support

  • Assist in half-yearly and yearly appraisal processes.

  • Maintain 0–100 evaluation records.

  • Collect probation review reports 20 days before probation completion.

  • Maintain complete KPI documentation.

Training & Development

  • Identify training needs in alignment with institutional Mission & Vision.

  • Maintain an annual Training & Development (T&D) plan.

  • Coordinate internal and external training programs.

  • Maintain training attendance and evaluation records.

  • Support induction and structured orientation for new joiners.

  • Monitor post-training performance improvements.

  • Maintain documentation of professional development records for each employee.

  • Support management in developing Islamic professionalism, discipline, and institutional culture through structured learning sessions.

Employee Relations

  • Respond to employee HR queries within 48 hours.

  • Support disciplinary procedures as per policy.

  • Maintain professional communication standards across departments.

Additional Duties

  • Perform any other tasks assigned by the authority.
