Responsibilities & Context:
∎ Maintain staff data base and staff leave file and maintain staff personal file with relevant documents. Prepare and maintain all the vendors’ related contract and other documents
∎ Hand over and receive project’s assets and maintain proper documentation and database for asset management & update stationary stock and deliver stationary with proper requisition
∎ Ensure necessary logistic support to organize meeting/workshop, training, event, etc. and coordinate and support field office financial and administrative issues
∎ Provide travel support and coordination, including air tickets bookings and visa applications
∎ Responsible for stock management and monthly inventory, receive goods according to RFQ and check the quality and maintain stock register and prepare daily stock in and out for the filed office
∎ Issue employee ID card, visiting card, office diary/notebook, calendar etc, arrange all meetings held at the office & prepare minutes of the meetings
∎ Track all the administration cost and other procurement related cost and work closely with Project manager to ensure the plans and procurement process is done as per the agreed and approved plan
∎ Organize the capacity building for the staff including the PMs and document the learning with learning division
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so
∎ This position will be the assist Project Manager (Finance, Budget & Logistics) to ensure the overall administrative management of the Programme and Coordinate with relevant authorities/donors in terms of administrative & logistics issues as per Project needs
