The Referral Assistant will serve as BRAC’s focal point at the IOM Referral Hub in Cox’s Bazar Sadar Hospital. The role is responsible for managing patient referrals, coordinating with IOM for onward referrals to Chittagong, and ensuring compliance with BRAC’s financial and operational policies. Key duties include vendor engagement for external services, distribution of food tokens and petty cash support, handling back referrals and emergencies, and maintaining complete documentation for audit and finance compliance.
Patient Admission Support: Assist patients referred from camp PHCs with admission procedures at tertiary hospitals, ensuring smooth entry and timely care.
Coordination with Stakeholders: Liaise with the Sadar hospital staff, IOM staff, and BRAC field teams to facilitate timely admission, treatment, and referral follow-up.
Record Management: Maintain accurate and up-to-date records of all referred patients, including admission details, treatment progress, and referral outcomes.
Financial Documentation:
Prepare and manage patient billing documentation, including medicine costs, laboratory expenses, meal costs, and other related expenditures.
Maintain a Petty Cash book for daily patient meal costs and other relevant expenses.
Collect and organize all supporting documents for financial transactions and submit them to the branch accounts department for compliance.
Referral Liaison Role:
Act as a bridge between PHCs, tertiary hospitals, IOM, and BRAC to ensure seamless referral operations.
Provide timely updates to the program team regarding referral status, patient progress, and cost implications.
Inventory Monitoring: Track and monitor medical and non-medical field supplies, maintaining registers of all incoming and outgoing materials.
Emergency and Escort Duties: Serve as a referral escort in urgent cases, do the night shift in emergency staff gap, managing blood donors, ambulance support, and back referral coordination with the Health & Nutrition field team.
Collaboration and Networking: Maintain effective liaison with other stakeholders working at the same location to maximize collaboration and resource sharing.
Patient-Centered Services: Ensure patient-friendly services and contribute to a healthy, supportive working environment at the referral hub.
Safeguarding and Compliance
Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
