Responsibilities & Context:

The Senior Project Officer – Finance, Admin & Logistics is responsible for ensuring effective financial management, administrative coordination, and logistical support for project implementation. The role supports programme and grants teams through accurate budgeting, expenditure tracking, compliance with donor and BRAC financial policies, and efficient administrative and procurement processes to ensure smooth and accountable project operations.

Financial Management and Budget Control

  • Support project and grants teams in calculating monthly estimated expenditures and actual costs in line with project requirements.

  • Provide detailed resource analysis to support planning, forecasting, and efficient utilization of funds.

  • Cross-check budgets, narrative proposals, and work plans to ensure full alignment and consistency.

  • Verify that procurement and work plans are aligned with approved cash flow forecasts.

  • Review cost estimates related to external evaluations, assessments, and surveys.

  • Monitor all financial transactions and reports to ensure accuracy, timeliness, and compliance.

  • Oversee project expenditures and procurement processes in line with approved budgets and plans.

Reporting, Compliance, and Documentation

  • Prepare and review financial reports in accordance with donor (including WFP) and BRAC policies and reporting standards.

  • Coordinate with Finance and Procurement departments to ensure timely submission and settlement of procurement bills.

  • Record and document all grant variations, budget revisions, coding adjustments, and donor communications.

  • Maintain proper filing systems for budgets, bills, approvals, and financial correspondence.

  • Communicate financial updates, risks, and required actions to the Project Manager and relevant project staff.

Administrative and Logistical Support

  • Support development of financial tracking tools, reporting templates, and administrative systems.

  • Participate actively in BRAC management meetings related to budgeting, expenditures, and record-keeping.

  • Coordinate administrative and logistical arrangements to support project activities and field operations.

Capacity Building and Team Support

  • Organize and facilitate capacity-building sessions for relevant staff on finance, admin, logistics, and compliance procedures.

  • Ensure all training outcomes, learnings, and actions are properly documented.

  • Perform any other responsibilities assigned by higher management, including preparation of documents and presentations as required by the programme.

Safeguarding and Compliance

  • Act as a key resource and guide on safeguarding to promote a safe and respectful working environment.

  • Practice, promote, and enforce BRAC safeguarding policies and standards in all operations.

  • Ensure team members are protected from harm, abuse, neglect, harassment, and exploitation.

  • Follow and encourage adherence to safeguarding reporting procedures in case of any reportable incident.
