Responsibilities & Context:
∎ Managing office supplies, equipment, and inventory and keep records.
∎ Overseeing office maintenance and space arrangements.
∎ Coordinating logistics for meetings, workshops, and travel arrangements for project staff.
∎ Managing and maintaining filing systems (physical and digital) for operational documents and records.
∎ Supporting for requisition for vehicles for various program activities
∎ Maintaining project assets, physical tagging as well as support for periodical verification.
∎ Providing administrative and logistical support to the project team, including scheduling meetings, managing calendars and preparing meeting agendas and minutes.
∎ Providing basic administrative support for project staff recruitment and onboarding, logistics arrangement processes.
∎ Assisting with travel documentation and expense reports.
∎ Assisting with basic financial management tasks as designated (e.g. updating trackers, invoice receiving and forwarding, vendor communication where necessary
∎ Maintaining a professional and efficient work environment within all project staff.
∎ Developing and maintaining positive working relationships with colleagues, partners, and stakeholders (where applicable).
∎ Overseeing office security measures, including locking and unlocking the office outside of regular business hours.
∎ Ensuring office hours by opening and closing the office following established protocols.
∎ Overseeing the cleanliness and upkeep of the office space.
∎ Managing support staff to ensure smooth arrangements for day-to-day refreshment for visitors, meetings etc. Ensure adequate refreshment items are available in stock.

∎ JOB PURPOSE
∎ BRAC is actively seeking a Senior Officer, Operations and Administration for Bangladesh America Maitree Activity (BAMA), a substantial project with a budget of USD 48 million. This 5-year program aims to enhance the capacity of local organizations aligned with USAID's strategic objectives in Bangladesh. Through a careful selection process, chosen local organizations will receive funding to implement programs, with a strong emphasis on strengthening their institutional capabilities.
∎ The Senior Officer, Operations and Administration will play a vital role in ensuring the smooth and efficient day-to-day operations of the project office. You will be responsible for a wide range of administrative, logistical, and program support tasks, contributing significantly to the project's success

∎ SAFEGUARDING RESPONSIBILITIES
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
