∎ JOB PURPOSE
∎ The position will provide high-quality administrative and strategic support to the Executive Director, BRAC. The incumbent will coordinate and manage complex office administrative work which includes maintaining internal and external communication for the Executive Director, scheduling meetings, office memo preparation, planning logistics and developing itineraries, requiring the use of independent judgment and initiative.
Job Responsibilities:
∎ KEY RESPONSIBILITIES
∎ Coordinate and manage internal and external communications of the Executive Director, BRAC with other internal programmes and external stakeholders
∎ Assist and perform strategic activities whenever delegated by the Executive Director, BRAC
∎ Produce documents, briefing papers, reports, presentations, and maintain documentation and files
∎ Manage incoming and outgoing correspondence/emails/packages etc.
∎ Maintain the Executive Director's calendar, schedule meetings, and record minutes of meetings, conferences, and workshops
∎ Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports
∎ Organise the department's logistics and administration
∎ Maintain confidentiality of highly sensitive information
∎ Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly
∎ SAFEGUARDING RESPONSIBILITIES
∎ Ensure the safety of Programme Participants, people who come into contact with the organization, and team members from any harm, abuse, neglect, harassment, and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance, and expertise on safeguarding for establishing a safe working environment.
∎ Practice, promote, and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
Additional Requirements:
∎ 2 years of working experience in the relevant field will be preferred.
∎ Proficiency in both written and spoken English and Bengali.
∎ Strategic acumen in professional tasks.
∎ Proficiency in managing office operations.
∎ Effective communication abilities.
∎ Proficient time management skills.
∎ Ability to perform well under pressure.
∎ Skill in effective prioritization.
