Required Skill and Knowledge:
Excellent writing capacity in English on donor/progress reports and success stories
Minimum three years working experience as Reporting and Documentation Officer for any UN/INGO and NGO
Proficiency in the use of all Microsoft Office applications (Doc, Excel, ppt) for data visualization
Strong organizational (time management), analytical, and problem-solving skills
Excellent oral and written communication skills in both Bangla & English
Experience with database management.
Excellent knowledge on digital data collection tools (e.g. KOBO, INFORM, etc)
Effective communication and presentation for external and internal audiences.
Planning: Ensure monthly work plan, Monthly, quarterly and special Field visit reporting.
Reporting and Documentation
Assist to prepare monthly, quarterly, annual Narrative reports, Special report and case study as per requirement.
Program Tittle: Engaging Rohingya Refugees and host community in Cox’s Bazar and Bhasan Char to sustain life-saving behaviors and practices and uptake of services for the wellbeing of women and children
Job Description/Responsibility (Reporting and Documentation Officer-RDO)
You are responsible for the overall leadership of the project`s ‘Reporting and Documentation’ section, ensuring effective reporting and documentation of program activities to capture the results of the SBC interventions. You will report directly to Programme Manager and MEAL Officer and be based at the project office. You will also be responsible for establishing functional linkages with MEAL, Programme, and other relevant departments/personnel. You are expected to allocate 50% of your time to reporting, 30% to documentation, and 20% to staff capacity building on reporting and documentation. As the incumbent, you will perform the following duties and responsibilities:
Summary:
There is 01 (one) Reporting and Documentation Officer in the project, working across four (4) Rohingya camps, Bhasan Char, and 12 unions in four (4) Upazilas. The responsibility of this position is to manage reporting and documentation activities according to the agreed structure and medium, supporting the CE project management team in ensuring the timely and quality delivery of necessary reports and proper documentation for complying with the donor’s needs.
Key Assignments/ Duties (but not limit to..):
Report Writing: (50%)
Collaborate with the Monitoring, Evaluation, Accountability, and Learning (MEAL) Officer to support evidence-based report writing
Prepare and compile project progress reports to showcase the outputs of social and behavioral change initiatives, including outcome levels
Support data collection efforts for report generation and donor digital reporting platform
Ensure accuracy, consistency, and quality in all reports by verifying information and presenting it in a clear and structured format
Develop ad-hoc reports as required by management or donors
Work closely with program teams and field staff to gather relevant information for reporting and documentation purposes
Ensure that all reports comply with donor requirements and organizational standards
Documentation: (30%)
Maintain thorough documentation of social and behavioral change initiatives, including adopted positive behavior practices, community feedback, case studies, and lessons learned
Ensure proper archiving of documents, pictures, reports, and data in both physical and digital formats
Develop and maintain project document files, ensuring easy access to relevant documents and information for all project staff
Collaborate with programme team to collect and analyze data related to project outcomes for reporting and documentation purposes
Establish and maintain functional linkages between reporting, documentation, and other program functions (e.g., finance, logistics)
Capacity Building: (20%)
Conduct capacity-building sessions for project team on reporting and documentation standards and best practices
Provide ongoing support and mentorship to project team members in developing effective reporting skills
Conduct field visit to identify the GAP in field level reporting and documentation
Any other task assigned by the line manager
