Responsibilities & Context:
∎ Collect Goods Received Notes (GRNs) from suppliers and ensure they are sent to the Regional Office (RO) in a timely manner, maintaining accurate records for all received items to support transparency and inventory management
∎ Collect dumper bills, verify accuracy, and process them through the Regional Office and Accounts team for prompt payment, ensuring proper documentation for financial audits
∎ Coordinate with the Branch Manager and Accounts team to arrange food and venues for meetings, workshops, and events, ensuring smooth event logistics and adherence to budgetary guidelines
∎ Track fuel usage for the motorcycle fleet and generator, maintaining logs for operational efficiency, and arrange timely fuel procurement through regular approvals and purchasing processes
∎ Provide administrative support for tasks assigned by the supervisor, including data entry, document management, scheduling, and other office-related tasks, ensuring seamless workflow and departmental support
∎ Assist with vendor and supplier communications, including confirming delivery schedules, handling inquiries, and maintaining positive relationships to facilitate ongoing services
∎ Manage office supplies, including monitoring stock levels, reordering as necessary, and ensuring a well-maintained and functional office environment
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so
∎ This position will be reportable to Manager, Admin, Logistic & Operation -SMS & Shelter He / She will be responsible for maintaining, updating and record keeping of all levels of goods stored at the ware houses. Also, deliver to different project sites under the Humanitarian Crisis Management Program (HCMP) of BRAC in his/her assigned working areas, including frequent field visit as per need of the Project and Programme.
