Responsibilities & Context:
1. Demand Planning & Purchase Control:
· Analyze daily, weekly, and monthly sales data before placing purchase orders
· Forecast demand for FMCG, fresh food, and grocery items
· Avoid over-purchasing and emergency buying
2. Perishable Procurement Management:
· Manage procurement of fish, meat, poultry, vegetables, fruits, dairy, and bakery items
· Ensure FEFO (First Expiry First Out) practices
· Control shrinkage, wastage, and expiry loss
3. Non-Perishable & FMCG Procurement:
· Source grocery, household, personal care, and branded FMCG items
· Monitor market price fluctuations and competitor pricing
· Ensure availability of fast-moving SKUs
4. Vendor & Supplier Management
· Identify, evaluate, and approve local and national suppliers
· Maintain multiple suppliers for critical items
· Negotiate price, credit period, delivery frequency, and return policy
· Evaluate vendor performance regularly
5. Price Negotiation & Cost Control
· Negotiate best possible prices and margins
· Ensure competitive buying to support retail pricing strategy
· Identify cost-saving opportunities without compromising quality
6. Purchase Order (PO) & Delivery Management
· Issue PO based on approved requisitions and sales analysis
· Ensure timely delivery to stores/warehouse
· Coordinate with stores for receiving and verification
7. Quality Assurance & Compliance
· Ensure all food items meet safety, hygiene, and quality standards
· Coordinate with store teams for quality checks at receiving
· Handle rejection, replacement, and vendor claims
8. Inventory Coordination
· Monitor stock levels across all stores
· Prevent stock-out of essential and fast-moving items
· Reduce dead stock and slow-moving inventory
9. Reporting & Documentation
· Prepare daily, weekly, and monthly procurement reports
· Item-wise, category-wise, and vendor-wise purchase analysis
· Maintain proper records of PO, invoices, delivery challans
10. Policy, Audit & SOP Compliance
· Ensure compliance with company procurement policies
· Support internal and external audits
· Implement procurement SOPs across all stores
