Responsibilities & Context:
  • Lead end-to-end procurement activities for local and overseas sourcing of materials, tools, services, and administrative purchases, ensuring compliance with organizational policies and value-for-money principles.

  • Critically review Purchase Requisitions (PRs), validate specifications, analyze user requirements, and independently develop sourcing strategies. Prepare and issue Requests for Quotation (RFQs) to qualified suppliers and ensure timely receipt of competitive and compliant quotations.

  • Perform detailed commercial and technical comparative studies (CS) of received quotations. Collaborate closely with end users to facilitate technical evaluations, recommend suitable suppliers, and drive data-based supplier shortlisting decisions.

  • Lead commercial negotiations to achieve optimal pricing, terms, and conditions aligned with RSGT Bangladesh’s strategic and budgetary objectives. Convert approved PRs into Purchase Orders (POs) and manage approvals through relevant governance and stakeholder channels.

  • Issue Purchase Orders with clearly defined commercial terms, delivery schedules, and technical specifications. Proactively monitor supplier performance and follow up through to successful delivery.

  • Verify delivery documentation for accuracy and completeness, coordinate with end users for material receipt confirmation, and liaise with Finance to ensure timely processing and settlement of supplier invoices.

  • Manage overseas procurement activities by maintaining transparent communication with international suppliers and providing expert guidance on import documentation and customs clearance requirements, including but not limited to Bill of Lading, invoices, packing lists, and proforma invoices.

  • Maintain and continuously update procurement records, requisition logs, and supplier databases. Ensure systematic archiving of procurement documentation, including PRs, RFQs, quotations, POs, contracts, and invoices.

  • Act as a procurement subject-matter resource for cross-functional departments by advising on procurement procedures, timelines, compliance requirements, and market best practices.

  • Develop and sustain strong relationships with approved suppliers while proactively identifying and onboarding new potential vendors to enhance sourcing options, competition, and supply chain resilience.
