Job Context:
∎ JOB PURPOSE: This position is responsible for ensuring administrative support to programme, managing office stock & inventory, fixed asset management, office maintenance, record keeping, etc. He/ She is also responsible for developing, reviewing, and improving administrative systems, policies, and procedures. Act as a contact point for all employees in the head office and field office. He/ She also looks after departmental communication both internally and externally. Work closely with the Head, BLC Operation to organize meetings & prepare the meeting notes.
∎ SAFEGUARDING RESPONSIBILITIES
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme`s goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.

Job Responsibilities:
∎ Ensure and provide administrative support to programme at the Head Office and Field Office as required.
∎ Prepare the procurement plan, coordinate and communicate with procurement staff and ensure procuring quality goods/services.
∎ Maintained schedules and calendars for various events & provided support for arranging meetings, and workshops in terms of venue selection, and food arrangement and coordinated with concerned departments for the necessary requirements.
∎ Maintain and preserve programme documents with confidentiality, taking different types of approval from management & disseminating with field offices in a timely manner.
∎ Make the arrangements for office space and necessary equipment for all BRAC Learning Center Head Office staff and ensure that all furniture and equipment are in proper order including IT equipment and internet infrastructure.
∎ Preserve & update the register for circulars and letters and also maintain a file for approved circulars.
∎ Coordinate travel management including booking of accommodation, transport requisition and air tickets.
∎ Update financial records, maintain employee records, data entry and reporting.
∎ Any other responsibilities as per the programme's requirements.

Additional Requirements:
∎ Problem-solving, Time management, Analytical Ability, Adaptability, Multitasking, Planning and organizing events and Report Writing
∎ Proficiency in verbal and written communication (English & Bangla)
∎ Team Management and Conflict resolution
∎ Understanding of basic administration, logistics, and procurement processes.
∎ Basic understanding of organizational policies, record keeping, ICT and audit responsibilities
∎ Proficient in MS Office, Microsoft Excel, and Google software, particularly in Google Drive, Gmail, Google Docs PowerPoint & browsing the internet.
∎ Minimum 2 years of relevant Admin or Customer Service experience in any reputed organization or NGOs.
