Job Context:
∎ The purpose of a pharmacist for quality assurance is to ensure the highest standards of safety, accuracy, and efficacy in medicines and services. A pharmacist`s expertise in drug interactions, dosage accuracy, and adherence to regulatory guidelines is essential to uphold and enhance the quality of services delivered from a Rohingya camp Health facility. This role will involve meticulous review and validation of processes, systems, and documentation to guarantee compliance with donor standards, thereby promoting patient well-being and fostering trust in our organization.
∎ Primary responsibility of this role is to give 30% time of the regular working hour to oversee and optimize all aspects of quality assurance within the pharmacy setting at Rohingya camp. This includes ensuring adherence to regulatory requirements, best practices, and organizational standards to guarantee the quality and safety of the medicines at warehouse and store of the health facility.

Job Responsibilities:
∎ Quality Compliance and Monitoring:
∎ Develop, implement, and maintain quality assurance policies and procedures to ensure compliance with medicine standards and regulatory guidelines.
∎ Conduct regular audits, inspections, and evaluations of pharmacy and warehouse operations to identify areas for improvement and enforce adherence to quality protocols.
∎ Oversee the work of pharmacists and dispensers at the Health Facility at Rohingya camps. Providing technical support to ensure efficient and effective field operations.
∎ Establishment of temperature control mechanism in the warehouse, medicine store, and dispensing points in all the health facilities.
∎ Team Management and Training:
∎ Lead a team of pharmacists and support staff, providing guidance and training on quality assurance procedures and standards.
∎ Foster a culture of continuous learning and development, emphasizing the importance of quality in all aspects of pharmacy operations.
∎ Support Manager-Clinical Services and Facility Managers, Programme Admin in preparing medicine requisitions, smooth delivery, record keeping and reporting.
∎ Coordinate with the Programme staffs along with the Warehouse Manager and the Facility Managers to ensure correct demobilization and proper disposition of pharmaceuticals.
∎ Process Optimization:
∎ Analyze workflow processes to identify bottlenecks and areas for streamlining, aiming to enhance efficiency and maintain high-quality standards.
∎ Collaborate with cross-functional teams to implement improvements and ensure seamless integration of quality initiatives.
∎ Oversee the inventory management process, including ordering medications and supplies, monitoring stock levels, short-expiry medicine management plan, and ensuring proper storage and handling of pharmaceutical products. This includes maintaining records of inventory transactions and collaborating with suppliers to ensure timely and cost-effective procurement.
∎ Documentation and Reporting:
∎ Establish a comprehensive documentation system to record quality-related data, incidents, corrective actions, and other essential information.
∎ Generate regular reports and performance metrics, presenting findings to senior management and suggesting strategies for improvement.
∎ Regularly prepare requisitions for medicine and other logistics.
∎ Review documents to confirm that appropriate pharmaceuticals were in fact provided to the beneficiaries.
∎ Compliance and Regulatory Affairs:
∎ Stay informed about updates in pharmaceutical laws, regulations, and compliance requirements, and ensure that the pharmacy is up-to-date and compliant with all relevant guidelines.
∎ Ensure that the pharmacy operates in compliance with all relevant laws, regulations, and professional standards. This involves monitoring and enforcing adherence to policies and procedures related to medication dispensing, record-keeping, and patient privacy.
∎ Risk Assessment and Mitigation:
∎ Conduct risk assessments to proactively identify potential risks to quality and patient safety, implementing measures to mitigate these risks effectively.
∎ Work with the logistics and finance departments to ensure regular and adequate pharmaceutical and medical commodity levels are maintained to prevent stockouts.
∎ Analyze training needs and responsible for training new pharmacy staff members. This may involve conducting training sessions, organizing workshops, or facilitating continuous on-the-job training.
∎ Recipient Focus:
∎ Uphold exceptional service standards by addressing humanitarian concerns related to medicines quality and safety, ensuring customer satisfaction and trust in the pharmacy's services.
∎ Prescription analysis for appropriate and adequate dose and duration of the distributed medicine.
∎ Collaboration and Communication:
∎ Collaborate with various stakeholders, including healthcare professionals, suppliers, and internal teams, to maintain effective communication and ensure alignment with quality objectives.
∎ Ensure pharmaceutical services are implemented according to internationally accepted standards and/or relevant Ministry of Health guidelines.
∎ Coordinate with the Medical Coordinator, the Logistics Coordinator and the Team Lead to ensure correct demobilization and proper disposition of pharmaceuticals.
∎ Safeguarding:
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so
