Responsibilities & Context:

Job context: The ideal candidate must have proven working experience in handling the HR, Admin & Social Compliance functions of any reputed Garments Company.

Compliance:

  • Act as the primary point of contact between the factory and the buyer’s CSR/compliance team.

  • Interact with factory floor personnel to prepare them for compliance audits and make them aware of maintaining better compliance standards.

  • Responsible for ensuring a healthy workplace and maintaining efficient operation of safety, hygiene, and the environment.

  • Schedule and coordinate social, environmental, and technical audits.

  • Share compliance documents, corrective action plans (CAPs), and progress updates as per buyer timelines.

  • Understand and interpret buyer-specific codes of conduct or ethical sourcing guidelines, and communicate them clearly within the factory.

  • Develop, enforce, and update factory policies in line with local laws and buyer expectations (e.g., labor rights, health & safety, working hours, wages).

  • Conduct regular employee training sessions on compliance topics such as anti-harassment, occupational safety, and ethical labor practices.

  • Perform regular self-assessments and internal audits to ensure standards are met continuously, not just before third-party audits.

  • Work with relevant departments to create and implement CAPs for any non-compliance findings.

  • Maintain detailed records of actions taken, and follow up to ensure full resolution.

  • Communicate openly about challenges or delays in remediation, offering realistic timelines and proof of ongoing efforts.

  • Audit reports, Training attendance, Grievance records and resolutions, Safety incidents and corrective actions, Wage and working hour documentation.

  • Recognize areas of potential non-compliance (e.g., peak production times leading to excessive overtime).

  • Develop proactive measures to prevent violations, including improving worker welfare, updating equipment, or shifting production plans.

  • Facilitate or support the establishment of worker-management dialogue platforms (e.g., welfare committees, grievance mechanisms).

  • Maintain contact with local labor departments, fire safety officials, or third-party consultants as needed.

  • Prepare the factories in light of the RSC and social audit standards.

  • Ensure the committee meeting is conducted promptly.

    Admin:

  • Manage administrative functions including factory housekeeping, transport, and security.

  • Liaise regularly with local and national regulatory authorities such as the Department of Inspection for Factories and Establishments (DIFE), the Labor Directorate, the Fire Service, and the environmental ministry.

  • Coordinate with local law enforcement agencies to ensure employees’ safety as well as to constantly develop incident response readiness.

  • Supervise administrative staff and support HR in employee onboarding, exit, and discipline processes.

  • Develop and improve SOPs for administrative operations

    HR:

  • Handling factory recruitment procedure, joining & Exit, confirmation, promotion, transfer, compensation & benefits, attendance, leave management, training & development, disciplinary actions, employee relations, grievance handling, etc.

  • Establish and maintain a peaceful Industrial Relationship between management and workers.

  • Any assignment as assigned by the top management.
