Job Context:
∎ JOB PURPOSE: Supporting and implementing different strategic initiatives under the ED`s office, including driving the organisation-wide annual/mid-year goal and reflection exercises, development of strategic briefs/reports, and assisting in executing the nascent project management function from the ED`s Office.
∎ SAFEGUARDING RESPONSIBILITIES
∎ Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve the programme`s goals on safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.
Job Responsibilities:
∎ Support on driving organisation-wide learning processes to continue BRAC's effort to build and nurture a learning culture within the organisation.
∎ Support the nascent project management function from the ED's Office to set the standards and provide strategic management support to cross-programme projects.
∎ Assist on managing the annual goal setting process (AOP), in coordination with different programme and department teams.
∎ Guide programmes/departments' systematic internal learning practices, through annual and mid-year reflection exercises, focused on adjusting and improving their annual operating plans (AOPs).
∎ Coordinating key organisational committees (assigned) routinely - meeting setup, writing meeting notes and overall communication.
∎ Organise and manage the Programme Coordination Committee meetings, ensure minutes and follow up action items when needed.
∎ Coordinate and support key organisational committees to ensure smooth function and follow ups, including the Senior Management Committee, Organisational Development Committee and others, as required.
∎ Prepare Corporate Office budget (mid-year, annual) and ensure overall coordination and monitoring of bills and expenses.
∎ Providing secretarial and logistical support to the Chairperson when needed.
∎ Identifying and coordinating cross-programme activities and opportunities for new development and expansion as per Executive Director's recommendation.
∎ Coordinate timely preparation of ED's deliverables for meetings and engagements in liaison with other programmes/departments, including donor/partner meetings, conferences, etc.
∎ Assist in preparing the progress reports and presentations for the ED for the governing body meeting and annual general meeting, in consultation with programmes and departments across BRAC.
∎ Coordinate and Maintain Executive Director's Dashboard and ensure regular CRM update.
Additional Requirements:
∎ Strong communications skills; oral and written, ideally Bengali and English.
∎ Adaptive and agile.
∎ Problem solving and analytical skills.
∎ Knowledge of BRAC, its history, its programmes and culture.
∎ Knowledge of strategy development, log frame and M&E framework development.
∎ Strong relationship management skill (internal and external).
∎ Critical thinking and strong attention to detail.
∎ High competency in self-management, and the ability to break strategic guidance down into actions.
