∎ Purpose: Deputy Manager, Admin and Protocol is responsible for Admin and Protocol which holds a pivotal role in ensuring the seamless execution of administrative and protocol functions within BRAC-HCMP. This also encompasses responsibilities related to protocol for dignitaries and executives, administrative management, and office maintenance.
∎ Furthermore, this role contributes to the value of HCMP by effectively managing the performance aspects of major vendors and service providers. The manager achieves this by coordinating with sector/unit leads and any authorized personnel under the supervision of the Senior Manager of Procurement.
∎ Safeguarding:
∎ Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve the programme’s goals on safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so
Job Responsibilities:
∎ Develop comprehensive itineraries for visiting dignitaries and executives, encompassing travel arrangements, accommodation, and logistical details for events and meetings.
∎ Provide protocol support to high officials during their visits and interactions.
∎ Coordinate hotel bookings, transportation arrangements, and other services for official visitors.
∎ Liaise with external partners and agencies to facilitate seamless protocol execution.
∎ Manage and supervise the administrative stores and diligently oversee inventories to ensure the uninterrupted provision of services.
∎ Oversee office maintenance, including cleanliness, repairs, and renovations.
∎ Develop and implement plans aimed at enhancing the performance and services rendered by office assistants and cleaners.
∎ Act promptly for any administrative and protocol-related inquiries.
∎ Supervise admin team in administrative paperwork, including invoices, contracts, and procurement processes.
∎ Assist in the development and implementation of office policies and procedures.
∎ Foster collaboration with other departments to support cross-functional administrative requirements.
∎ Evaluate the performance of team, providing feedback and guidance.
∎ Stay updated on trends and best practices in admin and protocol management to continually improve processes.
∎ Foster a positive and collaborative work environment to enhance cooperation, and morale among team members.
∎ Any other as assigned.
Additional Requirements:
∎ Age at least 14 years
∎ Minimum 05 years working experience of Administration in NGO/ INGO or UN organisation.
∎ Two (2) years in a supervisory role will be preferable.
∎ Supervision, Safety Management, Developing Standards, Equipment Maintenance, Event management, compliance etc.
∎ Proven management leadership skills, while taking a “hands on” implementation approach when needed, in a multi diverse organisation
∎ People management
∎ Excellent interpersonal and relationship building skills
∎ Reporting and Analysing skill
∎ Flexibility and ability to work on multiple projects
∎ Excellent written and verbal communication and presentation skills, including the ability to articulate in a compelling mission and programmatic goals and achievements to diverse stakeholders

∎ Ability to work comfortably with diverse populations, with sensitivity irrespective to creed and culture.
