Responsibilities & Context:

This Position will be responsible for ensuring administrative support, recording and overseeing financial transactions, relevant documentation as well as procurement support of the project in the respective offices (RO and field) by maintaining standard procedures and organization guidelines

  • Assist the Program Manager in preparing periodic financial plans and budgets (monthly, quarterly, and annual).

  • Track and analyze project expenditures against the approved budget, flagging variances and advising timely adjustments.

  • Support the Program Manager in preparing financial and procurement summaries, budget variance reports, and narrative updates.

  • Prepare accurate and timely financial reports (monthly, quarterly, half-yearly, annually) as per donor and organizational requirements.

  • Raise cash requisitions, ensure timely disbursements, and process adjustments with proper documentation and within defined timelines.

  • Coordinate with finance teams at both field and regional office levels to ensure budgetary compliance and smooth fund flow.

  • Assist in preparing procurement plans in alignment with the financial plan and ensure regular tracking of procurement status.

  • Review and submit purchase requisitions ensuring budgetary alignment and compliance with BRAC’s procurement policy.

  • Liaise with the procurement team to ensure timely and quality procurement of goods and services.

  • Ensure proper documentation, storage, and entry of stock and materials in relevant registers.

  • Ensure proper processing of bills, vouchers, and IOU settlements in accordance with organizational financial procedures and donor compliance.

  • Coordinate with the internal audit team and support any external audit exercises by maintaining appropriate documentation.

  • Support internal and external audit processes by ensuring accurate documentation and timely responses to queries.

  • Provide support to financial and procurement monitoring activities, both internal and donor-led.

  • Maintain up-to-date financial records and ensure adherence to organizational and donor compliance standards.

  • Monitor project-related contracts and agreements for administrative and logistics services.

  • Provide logistical support for training, workshops, meetings, and field visits.

  • Coordinate staff travel, accommodation, and transport logistics for official missions and visitors.

  • Maintain updated records on project fixed assets, especially IT and logistics assets.

  • Oversee administrative files and confidential documents with a strong filing and documentation system.

  • Manage administrative files and records, ensuring proper filing of confidential documents.

  • Coordinate transportation, accommodation, and protocol for visitors, guests, and delegates.

  • Maintain accurate project databases and prepare analytical reports and presentations.

  • Provide day-to-day supervision and mentorship to the Project Officer (Admin, Finance & Logistics) and relevant support staff.

  • Arrange and support field visits, donor trips, and workshops by ensuring all logistical and administrative arrangements.

  • Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.

  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.

  • Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
