Responsibilities & Context:
∎ Assist in preparing and maintaining upazila level financial records, including budgets, expenditures, and receipts
∎ Process payments, invoices, and reimbursements in compliance with organizational policies and procedures
∎ Support the preparation of financial reports, including monthly, quarterly, and annual statements
∎ Monitor project budgets and ensure proper allocation of funds
∎ Assist in internal and external audits by providing necessary documentation and support
∎ Maintain accurate and up-to-date financial databases and filing systems
∎ Coordinate logistics for project activities, including scheme materials
∎ Manage inventory of office and project supplies, assist timely procurement and distribution
∎ Oversee the maintenance and repair of office equipment and vehicles
∎ Support the organization of field visits, training sessions, and other project-related events
∎ Ensure proper documentation and reporting of logistics activities
∎ Support office operations, including procurement of supplies, maintenance of equipment, and coordination of administrative tasks
∎ Maintain and update personnel records, including leave management and attendance tracking
∎ Organize and schedule meetings, workshops, and events, including preparing agendas and taking minutes
∎ Handle correspondence, including emails, letters, and phone calls, and ensure timely communication with stakeholders
∎ Ensure compliance with organizational policies and procedures in all administrative activities
∎ Promote and ensure adherence to safeguarding policies within the team, integrating safeguarding standards in all project activities
∎ Follow the safeguarding reporting procedure for any reportable incidents and encourage team members to do the same
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so
∎ Project Officer-Finance, Admin & Logistic, will provide essential support in managing financial, administrative, and logistical operations to ensure the smooth functioning of the project. The role involves handling financial transactions, maintaining records, coordinating administrative tasks, and managing logistics for project activities. The ideal candidate will have strong organizational skills, attention to detail, and experience in finance, administration, and logistics management.
