Responsibilities & Context:

This position will be reportable to Manager, Budget & Finance -SMS & Shelter He / She will be responsible for maintaining, updating and record keeping of all levels of goods stored at the ware houses. Also, deliver to different project sites under the Humanitarian Crisis Management Program (HCMP) of BRAC in his/her assigned working areas, including frequent field visit as per need of the Project and Programme.

  • Collect labor bills from the field, verify their accuracy and completeness, and submit them to the Accounts department for timely processing, ensuring compliance with organizational policies and financial controls.

  • Maintain detailed records of all bills, vouchers, and other financial documents, ensuring they are organized, accurate, and easily accessible for auditing and reporting purposes.

  • Assist in the preparation of IOUs (I Owe You) by gathering necessary documentation, tracking the status of IOUs, and submitting them to the Regional Office (RO) for approval before forwarding them to the Accounts department for processing.

  • Collect and review master rolls of labor bills to ensure accuracy and compliance, submitting these rolls to the Accounts team for timely payment and record-keeping.

  • Track Purchase Requests (PRs) to enhance financial management, ensuring all requests are processed efficiently and aligning with budgetary constraints.

  • Collaborate with the Accounts department to ensure all financial transactions are accurately recorded and reconciled, supporting overall financial integrity within the organization.

  • Communicate with field staff to clarify discrepancies in labor bills and ensure proper documentation, fostering a transparent and accountable financial process.

  • Prepare regular reports summarizing financial transactions, including labor bills and IOUs, providing insights for better financial management and decision-making within the organization.

  • Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme`s goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.

  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.

  • Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
