∎ Master of Business Administration on Human Resource Management/ Management or any relevant field from a reputed University.
∎ Experience:
∎ · At least 3 years’ experience in HR & Admin department.
∎ · The applicant should have experience in the following business area(s): NGO with Micro-Credit.
∎ Additional Requirements:
∎ · Age at most 34 years.
∎ · Prior experience in HR/Admin/procurement including vehicle management. Printing/ publications will be preferred.
Responsibilities & Context:
∎ Identify Human Resources need, human resource planning, job posting, screen resumes and conduct initial interviews to ensure fair recruitment system.
∎ Coordinate interview schedules, prepare comparative statement, reference check, verify certificates and documents etc.
∎ Prepare offer letter, appointment letter, transfer letter, promotion letter and confirmation letter etc.
∎ Facilitate induction for new staff.
∎ Facilitate performance appraisals by maintaining evaluation records, supporting KPI setting and ensuring timely feedback from line manager.
∎ Plan and implement employee engagement initiatives, address grievances and develop retention strategies to enhance job satisfaction.
∎ Assist in payroll process.
∎ Update HR records in personnel file.
∎ Conduct exit interviews and oversee clearance formalities to ensure smooth transitions. B. Admin and Procurement1. Record Keeping, Documentation & Maintenance:
∎ Maintain an organized filing system of administrative records, reports, and documentation.
∎ Manage office equipment and ensuring timely repairs and replacements as needed.
∎ Coordinate external vendors. 2.Coordination & Event Management:
∎ Assist in organizing internal meetings, trainings and events.
∎ Coordinate logistics for company events, including venue setup & catering arrangement.3.Health & Safety Compliance:
∎ Ensure that the office environment adheres to health and safety regulations.
∎ Organize fire safety drills and provide staff with necessary safety information and resources. 4. Vehicle Management:
∎ Manage vehicle allocation, maintenance and ensure proper utilization of all the vehicles.
∎ Keep accurate records of vehicle usage, fuel consumption and maintenance schedules.
∎ Coordinate with drivers for timely transportation services for staff and official purposes. 5.Support Staff Management:
∎ Supervise support staff including cleaners, office assistants and drivers.
∎ Plan, organize and manage work schedules and tasks.
∎ Ensure proper performance and discipline among support staff. 6.Procurement & Store Management:
∎ Prepare note, collect quotation, comparative statement, contract award and follow up.
∎ Manage the procurement of office supplies, equipment and services in line with organizational needs.
∎ Maintain records of purchased goods and services and ensures adequate stock levels.
∎ Oversee the proper storage and distribution of materials and supplies. 7. Printing & Publications:
∎ Coordinate printing and publication tasks such as newsletters, brochures, annual reports, and other materials.
∎ Ensure timely and quality printing and distribution to the relevant field offices & departments and external stakeholders. 8.Others:
∎ Perform any other tasks assigned by the management to support smooth administrative operations.
∎ Job Summary: The Officer (HR & Admin) is an important role responsible for overseeing the Human Resource (Human Resources Planning, Recruitment & Selection, Performance Management, Employee Relations, Personnel File Management, Leave Management, HR Policies & Procedure and HR software), Admin (Safety & Security, Office Management, Utility & Maintenance, Travel & Vehicle and Policy & Procedure) and Procurement (Prepare note, collect quotation, comparative statement, contract award and follow up etc.
∎ Duties and Responsibilities:
∎ A. Human Resources Management:
