Responsibilities & Context:
∎ Ensure receiving new joiners' files and entry personal file detail information including insurance information and pay scale in HRIS
∎ Maintain and update physical and electronic personal files and ensure all documents are stored, secured, organized, and easily accessible
∎ Review and update EDMS on regular basis with current documents as well as monitor the system is working seamlessly
∎ Ensure providing and getting back personal files and relevant data to internal and external audit team within stipulated time
∎ Analyze data and prepare various type of reports which will ultimately help in planning and decision making
∎ Manage and keep record of HR store by following store management guidelines
∎ Maintain confidentiality and security of employee data, and ensuring that data is available in the system in a timely and accurate manner
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
∎ The position is responsible for maintaining and updating the organization's employee database. This includes ensuring the accuracy and complete entry and update employee information, such as personal details, employment history and upload documents in EDMS. Endure data analysis and prepare report for decision making
