Responsibilities & Context:
∎ Manage day-to-day office operations, including maintaining office supplies, equipment, and facilities.
∎ Organize and maintain filing systems for project documents, reports, and records.
∎ Support to organize in scheduling meetings, workshops, and events
∎ Support the preparation and distribution of project-related materials such as inputs and others
∎ Manage inventory of office and project supplies, ensuring timely distribution.
∎ Oversee the maintenance and repair of office equipment and vehicle.
∎ Assist entertaining guests with proper arrangement of snacks and others as per management instructions.
∎ Ensure compliance with organizational policies and procedures in all administrative activities.
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
∎ The Assistant Officer - Office Support Staff (OA) will provide essential administrative and logistical support to ensure the smooth functioning of the project office. The role involves managing office operations, coordinating administrative tasks, and providing support to project staff to facilitate the effective implementation of project activities. The ideal candidate will have strong organizational skills, attention to detail, and experience in office administration.
