Responsibilities & Context: To ensure smooth daily operational support, including opening and closing of facilities, maintaining cleanliness, delivering hospitality services, and assisting with administrative and logistical tasks as assigned.
Responsibilities:
- Ensure timely opening and closing of doors, windows, fans, lights, and AC units in the office premises.
- Provide hospitality and entertainment support to all staff, visitors, meeting and training participants, including serving tea/snacks, seating arrangements, and ensuring a welcoming environment.
- Maintain regular cleaning and tidiness in designated areas such as offices, meeting rooms, conference rooms, pantry, and surrounding premises.
- Assist in receiving, guiding, and attending visitors in coordination with admin personnel.
- Maintain all required logistics register books for the department and ensure proper documentation.
- Assist the Accounts Officer in preparing and processing all types of Production Centre bills, including volunteer labor payments, guard bills, and master roll-related issues, ensuring proper documentation and timely submission.
- Receive, sort, and deliver official documents and parcels to the appropriate persons or departments.
- Support in organizing monthly meetings by ensuring venue readiness, hospitality arrangements, and keeping proper records of meeting minutes, attendance, meeting room booking register and resolutions for documentation and future reference
- Assist with non-clerical and support tasks as assigned by the respective department.
- Keep duty area clean, organized, and free from unnecessary items.
- Purchase and distribute lunch tokens to staff and visitors based on the daily attendance list.
- Provide support during special events, official visits, meetings, or training sessions.
- Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
- Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
- Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
