Responsibilities & Context:
  • Conduct all procurement functions related to the project activities Assist with budget development for new activities and coordinate with the field teams on delivery of procured goods and services.

  • Coordinate with project team and subcontracts on item specification and activity budgets.

  • Perform market research and price analysis to find specifications and appropriate vendors.

  • Travel to and help support the project/subcontractor sites as needed to monitor delivery of procured goods to grantees and inspect quality of these goods.

  • Monitor subcontracts and purchase orders issued to vendors and follow up as necessary to ensure compliance to terms and conditions.

  • Contact all contractors and vendors on invoice or deliverable due dates to confirm submission of contractually mandated payment documents.

  • Maintain a database of vendors supplying good and services including car hire, hotel and workshop venues, office consumables and stationery, internet services, printings, courier service, etc.

  • Coordinate with various stakeholders to ensure optimal utilization of resources, accuracy in invoicing and vendor payments through matching of invoices to appropriate purchase orders.
