Job Summary
The Manager (Operations) will be responsible for the overall planning, supervision, coordination, execution, monitoring and control of Dot 5's operational activities.
The position will supervise and coordinate the Site Engineer Team, Electrical Team, Supply Chain/Procurement Team, Logistics and other operational support teams, while maintaining close coordination with Management, Clients, Consultants, Architects, Designers, Vendors and Project Teams.
The successful candidate must have strong leadership, project management, communication, problem-solving, cost-control and team-management skills, with practical experience in the Interior Fit-Out, Construction, Architectural, Engineering, Furniture or Turnkey Project sector.
Key Responsibilities
1. Overall Operations Management
Lead and manage the overall Operations Department of Dot 5 Private Limited.
Plan, organize, supervise and monitor day-to-day operational activities.
Ensure smooth coordination among all operational departments and project teams.
Develop and implement structured operational systems, procedures and reporting mechanisms.
Ensure projects and operational activities are completed according to Management's approved plans, budgets and schedules.
Identify operational risks, delays and resource requirements and take corrective action.
2. Departmental Supervision
The Manager (Operations) will directly supervise and coordinate:
Site Engineer Department
Electrical/Electrician Team
Supply Chain & Procurement Department
Logistics & Delivery Team
Project Support and Other Operational Teams
The incumbent will be responsible for ensuring that each team performs according to assigned responsibilities, KPIs, project requirements and company policies.
3. Project Planning & Execution
Prepare project execution plans, work schedules and resource requirements.
Monitor project progress from mobilization through completion and handover.
Ensure timely execution of projects according to approved architectural designs, drawings, specifications and BOQs.
Coordinate between Design, Drawing, Engineering, Procurement and Execution Teams.
Monitor manpower, materials, equipment and other resources required at project sites.
Identify project delays and immediately develop recovery/action plans.
Ensure proper project handover after completion.
4. Site Supervision & Monitoring
Regularly monitor all ongoing project sites.
Ensure Site Engineers and project teams properly supervise site activities.
Review daily site progress, manpower deployment, material requirements and project issues.
Ensure work is executed according to approved drawings, specifications and quality standards.
Conduct regular site visits and project review meetings.
Resolve operational and technical coordination issues in consultation with Management and relevant departments.
5. Client & Consultant Coordination
Maintain professional and regular communication with clients, consultants, architects and other stakeholders.
Understand client requirements relating to interior, exterior, furnishing, architectural and construction works.
Ensure client requirements are properly communicated to the Design and Execution Teams.
Attend project meetings and represent the company when required.
Address client concerns professionally and ensure timely resolution.
Maintain strong relationships with existing clients to support repeat business and successful project delivery.
6. BOQ, Quotation & Cost Estimation
Review and prepare BOQs, quotations and project cost estimates in coordination with relevant departments.
Analyze project requirements, drawings and specifications before preparing estimates.
Ensure accurate quantity measurement and costing.
Review material, manpower, subcontractor and other project-related costs.
Support Management in tendering, commercial proposals and project negotiations.
Ensure project costs remain within approved budgets.
7. Supply Chain, Procurement & Vendor Management
Supervise Supply Chain and Procurement activities related to ongoing projects.
Ensure timely procurement and delivery of materials according to project schedules.
Coordinate with vendors, suppliers, subcontractors and manufacturers.
Monitor purchase prices, material quality, delivery schedules and supplier performance.
Ensure proper material planning to minimize project delays.
Maintain appropriate coordination between project sites, factory, warehouse and suppliers.
Develop and maintain reliable vendor/supplier relationships.
8. Cost Control & Project Profitability
Monitor project expenses against approved budgets.
Ensure effective cost control throughout project execution.
Identify unnecessary expenses, wastage and operational inefficiencies.
Monitor material wastage, manpower productivity and subcontractor costs.
Take necessary measures to protect project profitability.
Report significant cost variations to Management with recommendations.
9. Quality Control & Compliance
Ensure all works are completed according to approved drawings, specifications and quality standards.
Coordinate with Site Engineers and relevant teams to identify and rectify defective or non-conforming work.
Ensure proper finishing and workmanship standards.
Ensure operational activities comply with company policies, safety requirements and project standards.
Promote safe and disciplined working practices at all project sites.
10. Team Leadership & KPI Management
Lead, motivate and develop the Operations Team.
Set clear responsibilities, targets and KPIs for operational employees.
Monitor individual and departmental performance.
Conduct regular performance reviews and provide constructive feedback.
Take corrective measures where performance does not meet expectations.
Build accountability, discipline and teamwork within the Operations Department.
11. Billing & Collection Coordination
Coordinate with Accounts & Finance and Project Teams for timely preparation and submission of project bills.
Ensure measurement sheets, work completion documents and supporting documents are prepared on time.
Monitor pending bills, retention amounts and client payment status.
Coordinate with clients regarding bill processing and payment follow-up when required.
Escalate payment-related issues to Management.
12. Reporting to Management
The Manager (Operations) will maintain structured reporting, including:
