Responsibilities & Context:
Mission 1: Archiving and Records Management
The HR Intern plays a key role in ensuring confidentiality, accessibility, and systematic organization of HR records. Responsibilities include:
Maintain confidential files: Update and safeguard Personal Confidential Files (PCF) of staff.
Create new staff files: Establish PCF for newly recruited employees.
Archive HR documents: File HR letters, contracts, and other HR-related records.
Digital archiving: Scan and store PCF, recruitment files, and other HR documents electronically.
Track and file records: Ensure proper indexing and retrieval of HR documentation.
Support PF & GF tasks: Assist in archiving and documentation related to Provident Fund (PF), Gratuity Fund (GF), and final settlement processes.
Mission 2: Recruitment Support
The HR Intern assists in recruitment activities by coordinating candidate communication and maintaining documentation. Responsibilities include:
Prepare recruitment files: Compile and organize documentation for each vacancy.
Candidate communication: Call, text, and invite candidates for interviews.
Coordinate assessments: Arrange written tests and interviews in collaboration with panel members.
Draft recruitment letters: Prepare HR letters related to recruitment and selection.
Maintain recruitment records: Archive recruitment documentation for compliance and future reference.
Mission 3: HR Administrative Assistance
The HR Intern provides day-to-day support to HR colleagues in administrative and operational tasks. Responsibilities include:
Document support: Assist HR colleagues in locating and organizing HR files.
Draft HR communications: Support in preparing HR letters and official communications.
Logistical support: Provide assistance during recruitment, onboarding, and HR events.
Other assigned tasks: Perform duties delegated by the supervisor or HR authority
Mission 4: Support to Organizational Commitments
The HR Intern contributes to Action Against Hunger’s commitments to gender equality, child protection, and disability sensitivity.
Responsibilities include:
• Understand and apply ACF’s Gender Minimum Standards & Child Protection Policies.
• Ensure confidentiality and sensitivity in handling HR records and candidate information.
