Job Responsibilities:
∎ RECRUITMENT:
∎ Assist in staff recruitment process and communication
∎ Ensure that all recruitment documents are completed and properly archived
∎ Ensure to collect all required documents of the new joining personnel prior to joining
∎ Ensure to prepare all required contractual documents for new joining personnel and validated by the Head of the Department
∎ Participate in the administrative briefing and induction process of new personnel
∎ Ensure that ID cards are provided to all staff
∎ Ensure that appraisals are performed on time.
∎ PAYROLL:
∎ Monitor/collecting staff attendance sheets and maintain leave records
∎ Assist in the payroll preparation process
∎ Ensure to distribute the payslips to all staff and collect a copy signed for the finance records
∎ Prepare documentation required for final settlements.
∎ DOCUMENTATION:
∎ Ensure to keep individual employee files complete and up-to-date (hard and soft copies)
∎ Ensure to collect all medical/benefits documents, crosscheck the invoices and prepare the reimbursement form in respect with the medical policy prior to submitting the complete documentation for validation to her/his supervisor
∎ REPORTING/COMMUNICATION:
∎ Ensure to make regular field visits to disseminate updated information, collecting feedback and submit field visit report to her/his Supervisor
∎ Provide assistance to all personnel for any inquiries related to staff regulations and policies
∎ Ensure to communicate to her/his Supervisor any difficulty that could face an employee or any incident related to the personnel.
∎ OTHER:
∎ Participate in travel arrangements required for the field base personnel and maintain records updated
∎ Prepare and translate HR documents when required
∎ Ensure to monitor changes associated with employment laws
∎ Provide support to her/his Supervisor as per request.
Additional Requirements:
∎ Both males and females are allowed to apply
∎ Excellent computer skills with MS Excel & MS Word [compulsory]
∎ Previous experience in managing recruitment process is a plus
∎ Knowledge of the legal, administrative and procedural process associated with the position
∎ Ability to plan and meet deadlines
∎ Communication skills
∎ In particular: Demonstrating ability to pay particular attention to details, remain calm and polite at all times, guide the personnel if any questions.
