∎ Knowledge of legal regulations and compliance requirements related to employee records, data protection, and confidentiality
∎ Familiarity with document management systems and software used for organizing and storing HR records
∎ Ability to organize, categorize, and maintain both physical and electronic documents efficiently
∎ Strong attention to detail to ensure accuracy in document management and record-keeping
∎ Effective time management skills to handle multiple tasks and meet deadlines in a fast-paced environment
∎ Strong written and verbal communication skills
∎ Ability to Process Improvement, Problem-Solving and Troubleshooting
∎ Ability to operate in a complex organization, across functions and work on own initiative and collaboratively as part of diverse teams.

Responsibilities & Context:
∎ Facilitate to organize, manage, and update employee files and HR documents, both in physical and electronic formats
∎ Assist in ensuring the accurate maintenance and secure storage of all employee records
∎ Support the digitization of HR documents and the implementation of documents management systems
∎ Assist in preparing documentation for internal and external audits
∎ Regularly review and update HR documents to ensure compliance with the latest regulations
∎ Communicate with employees regarding the submission and retrieval of HR documents
∎ Provide general administrative support to the HR department as needed
∎ Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment
∎ Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action
∎ Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so
∎ The HR Assistant will be responsible for maintaining and organizing HR documentation, ensuring accurate record-keeping, and supporting HR processes related to employee records and documentation management.
