Concern Departments: Procurement, Store, Inventory, Logistics, Purchase Support Team, Vendor Management
Experience: 7/10 years of experience, Hospital Experiences can be preferable
1) Supply Chain Leadership & Strategy
Lead and manage the entire hospital supply chain (Procurement → Store → Distribution → Inventory → Vendor Management).
Develop supply chain strategy aligned with hospital service needs, patient safety, and cost efficiency.
Ensure uninterrupted supply of medicines, medical consumables, surgical items, equipment, and general items.
Set departmental KPIs and ensure performance monitoring.
2) Procurement & Purchasing Management
Plan and execute purchase of:
Pharmaceuticals (where applicable)
Medical consumables & disposables
Surgical & OT items
Laboratory reagents
Biomedical equipment and spare parts
General store items (stationery, cleaning, pantry, etc.)
Ensure all procurement is done through approved policy, comparative statements, and authorization flow.
Review purchase requisitions and ensure correct specifications, quality standards, and quantities.
Ensure proper purchase order (PO) issuance, delivery follow-up, and timely procurement.
3) Inventory & Store Management
Ensure proper storage and inventory control of all hospital materials.
Maintain minimum stock, reorder level, maximum stock, and safety stock for critical items.
Ensure FIFO/FEFO practice (especially for medicines and reagents).
Control stock expiry, slow-moving items, and dead stock.
Ensure proper bin card, stock ledger, and system record (ERP/Software).
4) Demand Planning & Forecasting
Coordinate with Pharmacy, OT, ICU, Lab, Nursing, and departments for demand forecasting.
Prepare monthly/quarterly consumption analysis.
Plan seasonal or emergency demand (outbreak, dengue season, ICU high load, etc.).
Prepare annual procurement plan and budget input.
5) Vendor & Contract Management
Identify, evaluate, and develop reliable vendors/suppliers.
Ensure vendor enlistment and periodic vendor performance review.
Negotiate price, lead time, warranty, after-sales service, and payment terms.
Maintain framework agreements and rate contracts for regular items.
Ensure ethical vendor dealings and avoid conflict of interest.
6) Cost Control & Budget Management
Control procurement cost without compromising quality and patient safety.
Ensure competitive pricing through proper tendering or quotation process.
Monitor budget utilization for medical and non-medical supplies.
Provide cost-saving initiatives and alternative sourcing recommendations.
7) Quality, Compliance & Patient Safety
Ensure supplies meet quality standards and regulatory requirements.
Ensure proper documentation for audits (internal/external).
Work closely with Quality Assurance team for ISO/JCI/NABH-type compliance (if applicable).
Ensure proper storage conditions: temperature, humidity, cold chain, hazardous items.
8) Logistics & Distribution
Ensure timely distribution of supplies to wards, OT, ICU, ER, Lab, and other units.
Ensure emergency supply support 24/7 (critical items).
Maintain proper internal delivery and requisition process.
Ensure transportation coordination for inter-branch hospitals (if applicable).
9) Biomedical Equipment & Asset Support (Coordination)
Coordinate with Biomedical Engineering for:
Equipment purchase planning
Installation, warranty, AMC/CMC contracts
Spare parts procurement
Ensure timely sourcing of critical equipment and accessories.
10) Documentation, Reporting & Audit
Maintain strong documentation:
Purchase requisition files
Comparative statements
PO files
GRN (Goods Received Note)
Stock reports
Prepare and submit:
Monthly procurement report
Stock status report
Consumption and variance report
Expiry and dead stock report
Support internal audit, external audit, and regulatory inspections.
12) Team Management & Training
Lead the supply chain team with proper delegation and accountability.
Conduct staff training on:
Inventory control
Documentation
Quality compliance
ERP usage
Ensure discipline, attendance, productivity, and performance evaluation.
13) Emergency & Critical Supply Management
Ensure uninterrupted supply for emergency services:
ER, ICU, OT, NICU, Dialysis
Maintain emergency stock list for lifesaving supplies.
Support disaster management plan (mass casualty, outbreak, etc.).
14) Required Skills & Competencies
Strong knowledge of hospital supply chain & inventory systems
