Experience:
Background in Quality Management, Business Administration, or Textile/Engineering is an advantage.
Minimum 3–5 years in document control, quality assurance, or compliance roles, preferably within a manufacturing or RMG factory environment.
Document Control System Management
Establish and maintain a centralized document control system (physical and/or digital) covering SOPs, work instructions, policies, manuals, drawings, and forms.
Assign and track document numbering, version control, and revision history in line with the company's document control procedure.
Ensure only the current approved version of any document is in circulation; withdraw and archive obsolete documents.
Maintain a master document list / document register for all controlled documents across departments.
Review, Approval & Distribution
Coordinate document review and approval workflows with department heads, QA, and management prior to issuance.
Distribute controlled documents to relevant departments/workstations and maintain distribution records.
Process change requests for documents, ensuring changes are reviewed, approved, and communicated before implementation.
Records Management
Maintain quality, compliance, production, and HR-related records (inspection reports, test certificates, training records, CAPA logs, etc.) in an organized, retrievable filing system.
Ensure records are retained per the company's retention schedule and applicable legal/buyer requirements.
Safeguard confidential and sensitive documents; control access per authorization levels.
Audit & Compliance Support
Prepare and organize documentation for internal audits, management reviews, ISO/certification audits (e.g., ISO 9001, ISO 14001), and buyer social/technical compliance audits.
Ensure documentation evidence is complete, current, and audit-ready at all times; respond promptly to auditor documentation requests.
Track and follow up on corrective action plans (CAPs) and non-conformance reports (NCRs) related to documentation gaps.
Coordination & Reporting
Liaise with Production, QA, Compliance, Admin, and HR departments to ensure consistent document control practices factory-wide.
Train relevant staff on document control procedures and proper use of controlled documents/forms.
Provide periodic reports to management on document status, pending approvals, and audit readiness.
