Responsibilities & Context:
The position will be responsible for handling and coordinating day-to-day shipping agency activities, vessel operations, port formalities, documentation, and communication with vessel owners, masters, agents, port authorities and other relevant stakeholders. The successful candidate will work closely with the Group's Commercial, Shipping, Logistics, Operations and Management teams to ensure smooth, timely and cost-effective vessel operations, particularly for vessels carrying raw materials.
Vessel Operations
Coordinate vessel arrival, berthing, cargo operation, and departure formalities.
Communicate with ship owners, masters, charterers, port authorities, and terminal operators.
Monitor vessel schedules and ensure timely completion of port formalities.
Arrange necessary services for vessels, including pilotage, tugboats, mooring, fresh water, provisions, and other requirements.
Port & Authority Coordination
Liaise with Port Authority, Customs, Immigration, Coast Guard, terminal operators, and other relevant government agencies.
Complete all necessary port entry, clearance, berthing, and sailing formalities.
Ensure compliance with applicable port, maritime, customs, and shipping regulations.
Documentation
Prepare, verify, and submit shipping and vessel-related documents.
Handle documents such as Notice of Readiness (NOR), Statement of Facts (SOF), Cargo Manifest, Bill of Lading, Port Clearance, and other relevant documents.
Maintain accurate records of vessel movements, cargo operations, expenses, and correspondence.
Cargo Operations
Coordinate loading and unloading operations with the vessel, cargo owner, terminal, stevedores, and transport teams.
Monitor cargo operations and report delays, shortages, damages, contamination, or other operational issues.
Coordinate cargo surveys, draft surveys, inspections, and sampling when required.
Communication & Reporting
Maintain regular communication with vessel Masters, ship owners, charterers, cargo owners, port authorities, and internal departments.
Provide timely updates regarding vessel ETA, berthing, cargo progress, delays, and departure.
Prepare daily operational reports and post-vessel completion reports.
Financial & Agency Matters
Coordinate preparation of port disbursement accounts and other vessel-related expenses.
Verify agency-related bills and supporting documents.
Coordinate payments and settlements with service providers and authorities as required.
Problem Solving
Immediately report and coordinate solutions for operational delays, cargo discrepancies, vessel-related issues, or documentation problems.
Provide necessary assistance to the vessel during emergencies or unforeseen situations.
Ensure smooth turnaround of vessels while minimizing unnecessary costs and delays.
