Responsibilities & Context:

1. Overall Maintenance Management

  • Plan, organize, supervise, and control all maintenance activities of the automobile workshop.

  • Ensure maximum availability, reliability, and operational efficiency of all workshop machinery, equipment, tools, and utility systems.

  • Develop and implement preventive, predictive, corrective, and breakdown maintenance programs.

  • Ensure minimum equipment downtime and uninterrupted workshop operations.

Establish maintenance standards, procedures, and SOPs for all critical equipment and facilities.

2. Electrical Maintenance

  • Supervise and ensure proper maintenance of all electrical systems, equipment, and installations within the workshop.

  • Monitor and maintain electrical panels, distribution boards, motors, wiring, lighting systems, compressors, generators, UPS, and other electrical equipment.

  • Ensure timely troubleshooting and rectification of electrical faults and breakdowns.

  • Monitor electrical load, energy consumption, and overall electrical system efficiency.

Ensure proper earthing, electrical protection, and electrical safety practices.

3. Mechanical Maintenance

Ensure proper maintenance of vehicle lifts, air compressors, hydraulic systems, pneumatic systems, washing equipment, wheel alignment machines, wheel balancing machines, tire equipment, body shop equipment, and other workshop machinery.

  • Supervise & Monitor the maintenance team

  • Conduct root cause analysis of recurring mechanical failures and implement permanent corrective actions.

  • Ensure proper lubrication, servicing, calibration, inspection, and replacement of mechanical components.

  • Maintain critical machinery and equipment in safe and operational condition.

4. Preventive & Breakdown Maintenance

  • Prepare and implement daily, weekly, monthly, and annual preventive maintenance schedules.

  • Monitor Preventive Maintenance Compliance and ensure scheduled maintenance is completed on time.

  • Respond promptly to emergency breakdowns and minimize equipment downtime.

  • Maintain detailed breakdown history and analyze recurring equipment failures.

·        Conduct Root Cause Analysis (RCA) and Corrective/Preventive Action (CAPA) for major breakdowns.

  • Monitor equipment availability, MTBF, MTTR, and maintenance performance.

5. Workshop Equipment Management

  • Maintain an updated asset/equipment register with maintenance history.

  • Ensure all workshop equipment remains operational, safe, and properly maintained.

  • Ensure regular inspection, servicing, calibration, and certification of critical workshop equipment where applicable.

  • Identify obsolete, inefficient, or frequently failing equipment and recommend repair, replacement, or upgrading.

  • Coordinate installation, commissioning, testing, and handover of new machinery and equipment.

6. Maintenance Planning & Budgeting

  • Prepare the annual maintenance plan and maintenance budget.

  • Forecast maintenance requirements, spare parts, manpower, tools, and service requirements.

  • Monitor maintenance expenditure and ensure effective cost control.

  • Identify opportunities for reducing maintenance costs without compromising safety, quality, or equipment reliability.

  • Prepare management reports on maintenance activities, costs, breakdowns, and equipment performance.

7. Spare Parts & Inventory Coordination

  • Identify and maintain a list of critical maintenance spare parts and consumables.

  • Coordinate with Store/Procurement to ensure timely availability of required spare parts.

  • Establish minimum and maximum stock levels for critical maintenance items.

  • Monitor spare parts consumption and investigate abnormal usage.

  • Verify technical specifications and quality of purchased maintenance materials and spare parts.

8. Team Leadership & Manpower Management

  • Allocate daily maintenance tasks and establish priorities based on operational requirements.

  • Lead and supervise Engineers, Supervisors, Technicians, Electricians, Mechanics, and Maintenance Helpers.

  • Monitor employee productivity, discipline, attendance, and technical performance.

  • Conduct regular toolbox meetings and technical briefings.

  • Identify skill gaps and arrange appropriate technical training and development programs.

  • Build a responsive and technically competent maintenance team.

9. Safety Management

  • Ensure strict compliance with workshop safety rules and maintenance procedures.

  • Implement safe working practices for electrical, mechanical, hydraulic, pneumatic, and other maintenance activities.

  • Ensure proper use of PPE by all maintenance personnel.

  • Implement Lockout/Tagout (LOTO) procedures where applicable.

  • Ensure machine guards, emergency stops, safety devices, and warning signs remain functional.

  • Investigate maintenance-related incidents and recommend corrective and preventive measures.

  • Coordinate with the Safety/Security/Administration team on emergency preparedness and workplace safety.

10. Facility & Utility Maintenance

  • Supervise maintenance of workshop utilities and supporting facilities.

  • Ensure proper operation and maintenance of generators, compressors, pumps, water systems, drainage systems, ventilation, lighting, and other utilities.

  • Monitor utility consumption and identify opportunities for energy and resource efficiency.

  • Ensure workshop infrastructure remains safe, functional, and suitable for daily operations.

11. Vendor & Contractor Management

  • Coordinate with external service providers, contractors, and equipment suppliers for specialized maintenance work.

  • Evaluate technical proposals and service requirements.

  • Monitor contractor performance, quality, safety, cost, and completion time.

  • Verify completed maintenance work before approval.

  • Maintain records of vendor/service provider performance and maintenance history.

12. Calibration & Quality Control

  • Ensure periodic calibration/inspection of relevant workshop equipment and measuring instruments.

  • Maintain calibration and certification records.

  • Ensure equipment used for vehicle inspection, diagnosis, measurement, and repair remains accurate and reliable.

  • Coordinate with Quality/Technical teams to resolve equipment-related quality issues.

13. Documentation & Reporting

  • Prepare and submit regular maintenance reports to Management, including:

  • Daily Maintenance Report

  • Weekly Maintenance Report

  • Monthly Maintenance Report

  • Preventive Maintenance Compliance Report

  • Breakdown & Downtime Report

  • Equipment Availability Report

  • MTBF & MTTR Report

  • Maintenance Cost Report

  • Spare Parts Consumption Report

  • Utility/Energy Consumption Report

  • Critical Equipment Status Report

  • Maintenance KPI Report

  • Annual Maintenance Performance Report
