Job Responsibilities:
∎ KNOWLEDGE:
∎ Customer and personal service: Knowledge of principles and processes for providing customer and personal services; this includes customer needs assessment, meeting quality standards for services and evaluation of customer satisfaction
∎ Administration and management: Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods and coordination of people and resources
∎ Clerical: Knowledge of administrative and clerical procedures and systems, such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology
∎ Computers and electronics: Basic knowledge of circuit boards, processors, chips, electronic equipment, and computer hardware and software, including applications and programming • Personnel and human resources: Working knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiation, and personnel information systems
∎ Mathematics: Knowledge of arithmetic, algebra, geometry, calculus, statistics and their applications
∎ Public safety and security: Knowledge of relevant equipment, policies, procedures, and strategies to promote effective local, state or national security operations for the protection of people, data, property and institutions
∎ Event Management: Plan and coordinate chapter-level, event-related activities of member leaders; collaborate with corresponding EO Global personnel; and prepare arrangements for group meetings or special event.
∎ DETAILED WORK ACTIVITIES : (Daily)
∎ Support the local EO Chapter Board
∎ Manage chapter membership using in-house database, as well as the EO Access database
∎ Keep chapter members informed through email communications
∎ Act as a main point of communication between the chapter members and Chapter Board
∎ Coordinate meetings between chapter members and members of the Board
∎ Answer local/other chapter member inquiries by phone or email
∎ Office Management: Order supplies to ensure office is well-stocked and all equipment is in working order
∎ Email Management: Review all emails coming from Board members
∎ Update the EO Calendar of Events, to include Board meetings, trainings, etc.
∎ Enter and maintain EO prospects and applications on EOnetwork
∎ Send prospect information to prospective members
∎ Promote EO benefits, services and opportunities to chapter members
∎ Update the chapter profile and member profiles on EOnetwork
∎ Act as a liaison between the chapter and EO Global Support Services
∎ Maintain communications through bulk mailings, faxes, emails and press releases
∎ Maintain strong communications with EO Global staff (Regional Team) and the Manager/Chapter Administrator Community
∎ Monitor regional and global team pages on Samepage for announcements, and to pose question.
∎ DETAILED WORK ACTIVITIES : (Monthly)
∎ Monthly Board Meeting Administration:
∎ Coordinate logistics (meeting space, attendance, meeting minutes, board accountability, reminders, materials, etc.)
∎ Attend scheduled Board meetings and take the minutes
∎ Submit payroll through the appropriate method agreed upon in advance, once approved by the Chapter President
∎ Enter new members in database
∎ Attend Regional Monthly staff calls
∎ Create and communicate with the chapter through monthly newsletters
∎ Inform members of monthly learning and recruitment events
∎ Offer chapter event logistics support (e.g., recruitment, learning, social)
∎ Secure venue, date, time
∎ Post event on EOnetwork
∎ Set up, coordinate and track payments from members attending the chapter event.
∎ Coordinate speaker, photographer and catering logistics.
∎ Set up for audio/video equipment for presentation.
∎ Arrange travel for some speakers.
∎ Create and send event invitations.
∎ Coordinate event registration.
∎ Create name badges for members and sponsors.
∎ Confirm event logistics with vendors and speakers.
∎ Update the speaker database on EOnetwork .
∎ Collect speaker evaluations.
∎ Track event attendance on EOnetwork.
∎ Collect contracts from vendors, and send them to the Finance Chair for payment.
∎ Know the yearly calendar and budget as far out as possible for each event.
∎ Conduct surveys and track metrics if needed.
∎ DETAILED WORK ACTIVITIES : (Annually)
∎ Plan to attend the Chapter Staff Workshop organized by the region.
∎ Plan the Strategy Summit Retreat.
∎ Sign contract with EO Global, locate meeting space, secure food and beverage for meeting, and bring needed materials.
∎ Assist in membership renewal process (from June of current year to August of following year).
∎ Track membership renewals.
∎ Inform EO Global Support Services of any wire transfers or payments that are pending.
∎ Keep in constant communication with the chapter's EO Global Support Services Chapter Account Manager about member renewal status.
∎ Help Chapter President and Board replace outgoing Board members
∎ Perform various special projects on an as-needed basis.
∎ Assist the Finance Chair with the chapter budget.
∎ Chapter renewals.
∎ Annual Strategic Summit support.
∎ Coordinate, schedule, take notes, etc.
∎ Procure and deliver EO swag to chapter.
Additional Requirements:
∎ Age 26 to 38 years
